Item types

One catalogue, three item types

1flux gives every item one of three types: Physical good, Service or Software & digital. The register opens on tabs for Goods, Services, Digital and All items, and each type gets the form it needs.

  • Physical good

    An inventory unit, packs as Additional units, plus Track inventory and the supplier.

  • Service

    A billing unit, packs as Service packs, plus the subcontractor.

  • Software & digital

    A billing unit, Plans and packs, and a billing type (One time, Recurring, Usage based) with its frequency.

The type is fixed once an item is created, so a stocked product can’t quietly become a service. A workspace setting chooses which type new items start as.

Languages and search

Item names in 7 languages, with Arabic-aware search

1flux stores item names and descriptions in up to 7 languages: English, Arabic, French, German, Spanish, Hindi and Urdu. Arabic and Urdu fields type right to left, and the register can show a Name (AR) column. The first catalogue language is required on every item and drives search, sorting and exports.

Search matches every word against names in each language, the item code, model, barcode, the supplier’s code and the description. For Arabic, 1flux ignores diacritics and tatweel, treats alef, ta marbuta and ya variants as one, and matches Eastern Arabic digits to Western ones.

Units and labels

Units, packs and barcodes

Every item has one inventory (or billing) unit, and all quantities, costs and prices use it. 1flux seeds 30 units of measure in 8 classes and 10 conversions, such as dozen to piece. The unit locks once the item has stock.

  • Packs per item: a Box can be 30 pieces for one item and 45 for another. Each pack can have its own SKU and barcode, and is marked for purchase, sale or both.
  • Defaults: purchase lines show the item’s default purchase pack, and quotation lines start in its default sale pack. Stock documents use the inventory unit.
  • Barcodes: capture an existing EAN-13, UPC or Code 128, or generate an internal EAN-13. Barcodes are unique in the workspace.
  • Labels: print an A4 sheet of 1–100 labels at 38 × 25 mm or 50 × 25 mm, showing the item name, code and barcode.

Pricing and tax

Prices per channel, tax per item

1flux keeps a price for each item on every price channel. List Price is built in, and you add your own, such as Wholesale or Partner. Prices are dated: a new price closes the one before it, so the Pricing tab shows the full history.

Each item can carry its own inward (purchase) and outward (sales) tax code, or fall back to the workspace default. The Tax tab shows the tax in force and how it was chosen. Tax rates are dated too, so a rate change can be loaded ahead of time and earlier documents keep their rate. UAE VAT 5% and Saudi VAT 15% codes are seeded from your entity’s country. Quotations price each line from the list price and outward tax in force on the quote date.

Each channel keeps dated prices. A new price closes the one before it, so the history stays on record.
Catalog settings

How product catalog management software keeps codes consistent

Good product catalog management software stops bad data at the door. In 1flux, Catalog settings set the rules once, and every form, import and bulk edit follows them.

  • Coded categories: a tree up to 4 levels deep. A category’s full code is its parent’s code plus its own (01 + 03 = 0103). Items sit only in final categories. Moving a category previews and recodes the whole branch.
  • Item numbering: by category sequence (category code plus 4 digits), global sequence (prefix plus 6 digits) or manual. A code is proposed when you start an item and claimed only when you save it.
  • Validation rules: required, default, minimum and maximum, length, pattern and allowed values on catalogue fields, scoped by item type.
Each full code is the parent’s code plus its own. Moving a category previews the new code first.
Import

Import 10,000 rows, bulk edit 5,000

1flux’s Import items runs four steps: Add data → Map columns → Validate → Result.

  • Bring in CSV, Excel (with a sheet picker), pasted rows or a blank grid: up to 10,000 rows.
  • The Excel template has dropdown lists and a Field guide sheet, and adapts to your languages, price channels and custom fields.
  • Match existing items on code, or on barcode as a second match. Skip them, treat them as errors or update them.
  • Missing categories can be created as you go. Tax codes are never created by an import.
  • Every row is checked on the server before anything is saved, and errors download as a CSV.

Bulk edit items opens up to 5,000 items in a spreadsheet grid. Before anything changes, a review table lists every Item, Field, From and To. Export the current view or selected items to Excel.

Item record

Cost history, activity and the margin calculator

Each item record has a Cost history tab with a cost trend chart and a table of every change to the item’s reference cost: effective date, cost, source, note and who changed it. An Activity tab shows who changed the item, and when. Stock value itself comes from cost layers per warehouse.

Workspace admins also get a Margin calculator. It shows markup on cost for every channel price, with Average, Lowest and Highest tiles and a markup spread chart. Try a target markup to see a suggested price, or a channel discount to see the price after discount.

    In Catalog settings, choose languages, units, categories, numbering, price channels, taxes and validation rules.

  2. Import

    Download the template, fill it in Excel, map the columns and validate.

  3. Fix and commit

    Download the error file, correct it and import the valid rows.

  4. Enrich

    Add packs, barcodes, images and documents such as spec sheets.

  5. Maintain

    Edit cost, price and status inline in the register, save your own views and bulk edit with a review step.

Can item names be in Arabic and English?

Yes. 1flux stores item names and descriptions in up to 7 languages: English, Arabic, French, German, Spanish, Hindi and Urdu. Arabic and Urdu fields type right to left, the register can show an Arabic name column, and imports add columns such as name_ar automatically. Item search understands Arabic spelling variants and Eastern Arabic digits.

Can one catalogue hold goods, services and subscriptions?

Yes. 1flux gives every item one of three types: physical good, service, or software and digital. Each type has its own form. A physical good has an inventory unit and packs, a service has a billing unit and service packs, and a digital product has plans and packs, with a billing type of one time, recurring or usage based and its frequency.

Can we use packs such as boxes and cartons?

Can we print barcode labels?

Yes. From any item record, 1flux prints an A4 sheet of 1 to 100 labels at 38 × 25 mm or 50 × 25 mm, with the item name, code and barcode. It uses EAN-13 for 13-digit codes and Code 128 for everything else. Barcodes can be captured from existing EAN-13, UPC or Code 128 codes, or generated as internal EAN-13.

Can we keep wholesale and retail prices for each item?

Yes. 1flux keeps prices as price channels: List Price is built in, and you add your own, such as Wholesale or Retail. Each price is dated, so a new price closes the one before it and the Pricing tab shows the full history. Workspace admins can compare the markup on cost of every channel price in the margin calculator.

How does 1flux keep item codes consistent?

1flux sets the rules once in Catalog settings, and every form, import and bulk edit follows them. Categories form a coded tree up to 4 levels deep. Item codes come from a category sequence, a global sequence or manual entry, and validation rules cover required fields, defaults, minimum and maximum, length, pattern and allowed values, scoped by item type.

How many items can we import at once?

1flux imports up to 10,000 rows per file, from CSV, Excel or pasted rows. It maps your columns, checks every row on the server and lists errors before saving anything.
