ERP vs Excel

ERP vs Excel: 1flux compared with spreadsheets, WhatsApp and a basic accounting package

See where spreadsheets stop working for a B2B trader, and what changes when quotes, stock and the books run in one flow on one AI-native platform.

In short

ERP vs Excel comes down to one connected record versus many copies. With Excel, WhatsApp and an entry-level accounting package, the same order lives in several places and a few people hold the picture together. 1flux, an ERP for B2B traders and distributors, replaces the copies with one flow: quotations become orders, deliveries, invoices and payments, purchases become receipts and supplier invoices, and every delivery, receipt, invoice and payment posts its own journal. AI works on the same records, so Import PO with AI drafts quotations from a customer's PO, and the books live in the same system.

Today the same order is typed into four tools. In 1flux, each document creates the next on one line.
At a glance

1flux and the spreadsheet stack at a glance

The tools most growing traders start with, compared with one platform that connects every document.

1flux Excel, WhatsApp and an accounting package
How it’s built One platform: CRM, Inventory (with purchasing, receiving and the warehouse) and Accounting on one login and one data model Separate files, chats and an accounting package, joined by copy and paste
AI AI-native: AI works on the same connected, permissioned records and rules as your team. Today Import PO with AI turns a customer’s PO into a draft quotation General-purpose AI tools, working on copies of your data
From PO to paid One record from the customer’s PO to payment: each document creates the next, with no re-keying The same order typed into a quotation, an order sheet, a stock sheet and the accounting package
Posting to the books Every receipt, delivery, invoice and payment posts its own balanced journal through one posting gateway Invoices and receipts entered again in the accounting package
Several companies Every legal entity in one workspace, each with its own currency, registrations, numbering, warehouses and books; a consolidation run combines the group A file, or a separate company file, per legal entity; consolidation by hand
Where work starts Seven overview pages open on a “Needs action” list of the records waiting for each person Status lives in files, chats and people’s memory
The spreadsheet stack is described in general terms, not as any one vendor's product.
Why teams switch

Why do traders choose 1flux in the ERP vs Excel decision?

1flux replaces copies with one record. Each document creates the next, every team sees the same status, and the ledger updates itself.

Type the order once

A quotation is approved and sent by email, a secure link or WhatsApp. When the customer accepts and you attach their PO, it becomes a sales order with the same lines, discounts, tax and shipping. Dispatch creates the delivery note, and the invoice is raised from what was delivered.

  • The order-to-cash board moves only when each document exists, so "where is my order?" has one answer.

AI on your real records

1flux's AI works on the same structured, connected and permissioned records as your team, not on a copy. Import PO with AI reads a customer's PO or RFQ and drafts up to 200 quotation lines, matching exact item codes to your catalogue with a confidence score.

  • It never invents values.
  • It attaches the source file to the quotation.
AI in 1flux

Promise only what you have

1flux shows On hand, Reserved, Available and Awaiting receipt for every item in every warehouse. Activating a sales order reserves its stock, so Available reflects what you’ve already promised.

Multi-warehouse stock in 1flux

Stock and the books stay in step

Receipts, deliveries, invoices, payments, write-offs and stock counts each post a balanced journal automatically, and every stock posting writes its journal in the same step as the movement.

  • A Stock vs ledger check flags any difference.
  • Receivables reconcile open invoices to the ledger on screen.
  • Month-end becomes a checklist instead of a matching exercise.
1flux Accounting

Control without chasing

Quotation approvals work by amount band, and sending is blocked until approval. A reason is required for every short, over or rejected quantity on a receipt.

  • Custom roles built from more than 100 permissions.
  • Two people can’t silently overwrite each other’s edits.
  • Activity and stage history form an audit trail.

See what your field team did today

Each salesperson posts one daily sales report with visits, outcomes and next actions, and it locks once posted. Follow-ups become tasks on the calendar automatically.

  • Managers see who posted, who didn’t and which products customers asked about.

Moving

How do you move from spreadsheets to 1flux?

1flux's import tools are built for the sheets you already have. Most teams go live on a cutover date with master data and opening balances.

  1. Companies and contacts

Upload CSV or Excel, paste from a sheet or type into an empty grid: up to 5,000 rows and 10 MB per file, with an error file for rejected rows.

  2. Items

Up to 10,000 rows per file, with missing categories created for you and matching on code or barcode.

  3. Clean up in bulk

Edit up to 5,000 companies or items in a spreadsheet grid and review every change before it’s applied.

  4. Opening stock

Up to 10,000 rows, validated all-or-nothing, posted on the cutover date.

  5. Opening balances

Start from the 25-account trading chart, then import an opening trial balance from your accounting package.

FAQ

Questions, answered

Still deciding? Talk to sales

What is the difference between an ERP and Excel?

1flux, like any ERP, keeps one shared record of every customer, item, order and transaction, and each document creates the next. Excel holds separate copies that people update by hand. In 1flux, a quotation becomes a sales order, a delivery note and an invoice without re-keying, and the delivery note and invoice each post their own journal. When you want a pivot table, 1flux exports to CSV and Excel.

When should a trading company move from Excel to an ERP?

1flux is worth a look when the copies start to disagree. Typical signs: the same order typed into several files, stock promised that isn't there, stores and accounts disputing receipts, and a month-end where the stock report and the ledger don't match. Running more than one company or warehouse adds to the case, and so does a field team whose day you can't see.

Can I import my Excel files into 1flux?

Yes. The import workbench takes CSV, Excel (.xlsx) or pasted data. Companies and contacts import up to 5,000 rows and 10 MB per file, and items up to 10,000 rows. You map columns, 1flux validates every row on the server before saving, and rejected rows come back in a downloadable error file. Opening stock and an opening trial balance import the same way.

Can I still use Excel with 1flux?

Yes. Companies, contacts and items export to CSV or Excel. Ledgers, receivables, customer statements, stock movements, valuation and the purchase order report export to CSV, and the files open correctly in Excel, including Arabic text. Bulk edit gives you a spreadsheet grid for up to 5,000 companies or items, with a review of every change before it's applied.

Can 1flux replace my accounting package?

Yes. 1flux keeps the books: automatic posting, receivables, supplier payments, a profit and loss and balance sheet for each legal entity, bank reconciliation, and VAT returns prepared from the VAT already posted. Sales, purchasing and stock post their own journals through one posting gateway, so the books stay current without anyone re-keying invoices or receipts.

Does 1flux work with WhatsApp?

Yes. A salesperson can share a quotation on WhatsApp from their own account, with a message template and a secure link where the customer can accept or decline online. Approvals happen in 1flux and order status lives on the order-to-cash board, so nobody has to chase an approval or a delivery update in a chat.

Is my data safer in 1flux than in spreadsheets?

1flux adds controls that shared files don't have. Each customer's data is isolated inside the database with PostgreSQL row-level security, roles control what each person can see and do, files open through signed links that expire after 5 minutes, and every deployment takes a verified backup first. See how 1flux protects your data.
