1flux is configured in settings, not in code. Admins add custom fields of 15 types to records such as companies, contacts, deals, sales orders and items. They set catalogue validation rules, numbering formats, task types with their own stages, deal stages and per-stage workflow rules, and they design quotation templates. Your own admin makes these changes, with no custom code to maintain or retest at upgrades.

Custom fields

Add your own fields to the records you use

1flux lets admins add custom fields, called attributes, to almost every record. Each record type lists its built-in fields alongside the ones your workspace added.

Where custom fields appear:

  • on create and edit forms;
  • as columns in lists;
  • in import templates and exports, so you can load and extract them with the rest of your data;
  • in workflow entry criteria, so a custom field can be required before a stage.

Sales orders enforce required custom fields, and manual journals carry custom fields on both the entry and its lines.

Validation rules

Validation rules for your catalogue

Your item master is only as good as the data people type into it. Under Settings → Catalog → Validation rules, admins add rules to catalogue fields:

  • Required on every item
  • Minimum and maximum values
  • Minimum and maximum length
  • A pattern (regular expression), such as a fixed item-code shape
  • Allowed values
  • A default value

Each rule can apply to all item types or only to physical goods, services, or software and digital items, and can be paused. Rules are enforced on forms, imports and bulk edits. For other records, such as deals and quotations, required fields are set as workflow entry criteria. See 1flux item master.

Rules on catalogue fields hold on every form, import and bulk edit, so bad item data never gets in.
Numbering

Numbering that matches your paperwork

Your documents keep the references your customers and suppliers already know.

  • Item codes: Manual, Global sequence or Category sequence, with the number of digits you choose. New items follow the format; existing codes don’t change.
  • Quotations: a prefix, the year and a sequence, for example QT-2026-00001, with a preview before you save. Revisions add /R1, /R2.
  • Task types: each type has its own prefix and format, for example TASK-000001, or SUB-00001 for the built-in submittal request type.
  • ERP documents: sales orders, invoices, receipts, journals and other ERP documents follow fixed patterns, such as SO-2026-0001. Each legal entity keeps its own sequence per year, and you can see the patterns under Settings → Inventory → Numbering.
Set the formats for item codes, quotation numbers and task types. New records follow; existing numbers never change.
Task types

Task types: your own kinds of work, with their own stages

Task types let you add the other kinds of work your teams track, such as submittals or internal requests. A task type is a configurable kind of work with:

  • a name, plural name and colour;
  • its own ID prefix and format;
  • its own stages and an optional priority;
  • its own workflow: assignment, service levels, checklists and approvals;
  • an option to show as a tab on deals.

Each task type gets its own sidebar entry and its own “Create” command in the command palette. A Submittal request type is set up for you. See 1flux Tasks.

Stages and rules

Deal stages and workflow rules

Deal stages are yours to define: name, colour, outcome (Open, Won or Lost) and order, with drag-to-reorder and an optional win celebration.

On top of any stage, the workflow engine adds rules for deals, quotations, sales orders and tasks: who owns the record, how long it may stay, what must be complete, who approves and what happens next.

Quotation templates and wording

Quotation layouts are designed in Document Studio, a drag-and-drop page designer with 53 live quotation fields, 8 bundled font families plus your own TTF or OTF fonts, and A4, US Letter, landscape or custom pages. Arabic and English can sit side by side.

Reusable proposal sections and cover-letter defaults keep your standard wording consistent.

CRM settings and pick-lists

The everyday details your teams pick from are yours to set, from who sees the Companies tab to the reasons in a daily report.

  • CRM

    Show the Companies tab to everyone with the Companies module, or to admins and managers only. Set a default country for new addresses.

  • Daily sales report

    Rename “Updates” (for example to “Daily Sales Report”), set how far back people can log, and edit the pick-lists for purposes, product interests, outcomes, next actions and no-visit reasons.

  • Projects

    Your own scope-of-work tags and cities.

  • Catalogue

    Item languages (up to 7), units and conversions, tax codes with dated rates, price channels and item document types.

Can I add custom fields in 1flux?

Yes. 1flux admins add custom fields in Settings → Objects to companies, contacts, deals, projects, tasks, notes, sales orders, items and catalogue setup records. There are 15 field types, including Select, Multi-select, Currency, Date, User, Relationship and Attachment. Custom fields appear on forms, in list columns, in import templates and exports, and can be required as workflow entry criteria.

Can I make a field mandatory?

Yes. There are three ways. Catalogue validation rules can make an item field Required on every item. Workflow entry criteria can require any field, including custom fields, before a deal, quotation, sales order or task enters a stage. Sales orders also enforce custom fields marked as required.

Can I set validation rules on catalogue fields?

Yes. Under Settings → Catalog → Validation rules, 1flux admins add rules to catalogue fields: required, minimum and maximum values, minimum and maximum length, a pattern such as a fixed item-code shape, allowed values and a default. Each rule can apply to every item type or to one, can be paused, and is enforced on forms, imports and bulk edits.

Can I change document numbering formats?

Yes. For item codes, quotations and task types, 1flux lets you set the format: item codes by manual entry, global sequence or category sequence; quotation numbers by prefix, year and sequence; and task-type references by prefix and format. New records follow the new format, and existing numbers don't change. ERP documents such as sales orders, invoices and journals follow fixed patterns, with a separate sequence per legal entity and year.

What are task types in 1flux?

1flux task types are your own kinds of work, such as submittals or internal requests. Each has a name and colour, its own ID prefix and format, its own stages and optional priority, and its own workflow with assignment, service levels, checklists and approvals. Each task type gets its own sidebar entry and its own create command in the command palette.

What can I name or rename in 1flux?

1flux lets you name your own task types and rename the daily sales report, which is called "Updates" by default, for example to "Daily Sales Report". Deal stages, task stages, pick-lists and custom field labels are all yours to name too, so the stages and pick-lists your teams use every day carry your own words.

Can our own admin configure 1flux without a developer?

Yes. Everything on this page is configured in 1flux settings by someone with admin permissions, with no custom code to maintain or retest at upgrades. Rules can be added one stage at a time, and a workflow with no rules keeps working as before. Field-level security is available too, configured with our team.
