ERP for professional services, from first proposal to final payment
For consultancies, agencies, engineering and design firms. Send proposals in your own layout, run each engagement as a project and know what clients will pay this month.
In short
1flux is an ERP for professional services firms that win work on proposals. A proposal is a quotation laid out in Document Studio, approved by amount and locked as a PDF before it goes out. Each engagement runs as a project with tasks and notes, fees are invoiced in parts without a delivery note, and a collections forecast shows what each client should pay this month and next.
How does an ERP for professional services carry an engagement through?
1flux carries an engagement from the proposal request to the last payment on one record. Each document starts from the one before it, so the fees a partner approved carry through to every invoice.
Say a client asks for a proposal for a six-month brand and website programme. The salesperson requests it from the deal, a proposal writer builds it, a partner approves it and the client accepts it online. The engagement becomes a sales order, the fees are invoiced in parts as the work is delivered, and each invoice and payment posts its own journal.
- Quotation request (From the deal) . Nothing posts.
- Quotation (QT-2026-00377/R1): Approved . Nothing posts.
- Accepted online (On the secure link): Accepted . Nothing posts.
- Sales order (SO-2026-0288) . Nothing posts.
- Sales invoice (Part 1) . Posts Dr AR , Cr Revenue, VAT.

- Customer payment . Posts Dr Bank , Cr AR.
Proposals that look like your firm's, not your software's
In 1flux a proposal is a quotation laid out in Document Studio, a drag-and-drop page designer. Place 53 live quotation fields, line tables that continue cleanly across pages, repeating headers and footers, and your own fonts on A4, US Letter or a custom page. Proposal sections, payment details and up to 30 attachments travel with it.
- A formal cover letter with Ref, To, Attn, Project and Subject, your terms and up to three signatories
- Arabic and English side by side, with Arabic printed correctly
- Each proposal is issued by one of your legal entities, with its letterhead, registrations and bank details
Partner sign-off before a proposal goes out
Approval rules in 1flux target amount bands, so a proposal above USD 50,000 can need a partner, and anything above USD 250,000 two partners out of three. Sending is blocked until the proposal is approved, and a rejection returns it to Draft with a reason.
On approval the PDF locks: the same file is emailed, shown on the client’s secure link and downloaded. Changes become numbered revisions (/R1, /R2), each with a reason, and earlier versions are kept.
- Salespeople request a proposal from the deal, and it moves from Requested to Assigned, In preparation and Quoted
- The client accepts or declines on the secure link, with an optional note, and you see when they’ve viewed it
- Draft (QT-2026-00118): Draft.
- Approval: Pending approval.
- Approved: Approved.
- Sent: Sent.
- Accepted: Accepted.
Every engagement as a project, with its tasks and notes
Each engagement in 1flux is a project: the client, the partner or salesperson who owns it, scope tags such as Strategy, Design or Engineering, start and target dates and a status from Proposed to Completed. Link the deals behind it, then attach tasks and notes as the work moves.
- Task types for deliverables, with their own stages, ID prefix and an approval on any stage
- Notes linked to the client, contacts, project and deal, with comments and reactions
- Choose whether everyone sees everything, or each person sees their own records and their team’s
- A knowledge library per legal entity for company documents, with valid-from and valid-until dates
Invoice fees in parts and see who owes what
Fees in 1flux are service lines, invoiced up to the quantity ordered with no delivery note, so an engagement can be billed in parts. Invoices can be in the client’s currency at a stored rate, with VAT per line and a due date from the client’s credit days. One payment can settle several invoices, and the realised FX difference posts automatically.
- Receivables aging in buckets from Current to over 90 days, with a ledger check against the control account
- A statement per client with a running balance, exportable to CSV

Forecast collections by client and engagement
In the collections forecast, each partner or salesperson forecasts what every client will pay this month and next, per client and, optionally, per project. They record what actually came in, and 1flux shows the variance, a Hit % and six months of forecast against collected.
Managers see their team’s lines, so a quiet month shows up while there’s still time to call the client.

Can 1flux produce proposals in our own design?
Yes. Document Studio in 1flux is a drag-and-drop page designer for quotations, which is how proposals are built. Place 53 live fields, line tables that continue cleanly across pages, repeating headers and footers, and 8 bundled font families or your own TTF and OTF fonts, on A4, US Letter, landscape or a custom page size. Arabic and English can sit side by side, with Arabic printed correctly.
Can a partner approve proposals above a certain value?
Yes. Approval rules on 1flux quotations can target amount bands, so a proposal above a set total goes to a partner, or to any, all or a quorum of named approvers. Sending is blocked until the proposal is approved, and a rejection returns it to Draft with a reason. On approval the PDF locks, so the file the client receives is exactly the one that was approved.
How does 1flux handle proposal revisions?
1flux numbers each revision of a proposal, /R1, /R2 and so on, and every revision needs a reason. A revision starts as a draft, so it goes through the same approval rules as the original before it can be sent. Earlier versions are kept unchanged, so you can open any version the client received, along with the reason it was revised.
Can we run each client engagement as a project?
Yes. A project in 1flux CRM records the client, the partner or salesperson who owns it, scope tags such as Strategy, Design or Engineering, start and target dates and a status from Proposed to Completed. Link the deals behind it, then attach tasks and notes as the work moves. The proposal's cover letter can name the project, so the client sees the same name throughout.
Can we invoice an engagement in parts?
Yes. Fees in 1flux are service lines on a sales order, invoiced up to the quantity ordered with no delivery note, so one engagement can be billed across several invoices. Each invoice can be in the client's currency at a stored rate, carries VAT per line and takes its due date from the client's credit days. The customer payment posts any realised FX difference automatically.
Can we forecast collections by client and engagement?
Yes. In the 1flux collections forecast, each partner or salesperson forecasts what every client will pay this month and next, per client and optionally per project. They record what was actually collected, and 1flux shows the variance, a Hit % and six months of forecast against collected. Managers see their team's lines, while each person edits only their own.
Can staff see only their own clients and engagements?
Yes. 1flux lets you choose whether everyone sees everything, or each person sees their own records and their team's, following the reporting lines you set. Named roles can be given permission to view or manage all records. Custom roles are built from more than 100 permissions, and a non-admin can't grant a permission they don't hold themselves.
