A deal pipeline that runs on your rules

1flux CRM is sales pipeline management software for B2B teams: a monthly deal board, stage rules that check every move and quotation requests raised from the deal.

In short

1flux CRM puts every open deal on a kanban board that opens on the current month. Salespeople move deals by mouse, touch or keyboard, and each move runs the stage rules you set: required fields, approvals, reasons and automations. Won and lost deals have their own registers, with the lost reason on record. From any deal, a salesperson can request a quotation and follow it until it's quoted.

The deals board opens on the current month. Each column shows its count and total value.
Sound familiar?

Why does a spreadsheet pipeline stall?

A pipeline in a spreadsheet is only as current as the last person who opened it, so the weekly review becomes a round of questions.

  • “Deals get marked won with nothing behind them.”

  • “When we lose a deal, nobody records why.”

  • “Quotation requests come in on WhatsApp and get lost.”

  • “I can't tell how long a deal has been stuck in one stage.”

The board

How does 1flux work as sales pipeline management software?

1flux shows the sales pipeline as a board with one column per deal stage, in the stage’s colour. It opens on the current calendar month: open deals always show, and won and lost deals show if they reached that stage in the range you pick.

  • Column headers: the deal count and total value in your core currency, plus “+ Add deal to {stage}”.
  • Cards: deal name, company and linked projects, salesperson, value, deal age and time in stage, workflow badges (service level, pending approval, checklist) and “N new” when something changed.
  • Tiles: Open deals, Won, Lost and Projected revenue, the total value of open deals.
  • Filters: stage, outcome (Open, Won, Lost), date range and salesperson (Everyone, Mine, My team or a person). Only managers and admins see the salesperson filter, so a rep never gets a directory of peers.
  • Sort: newest or oldest first, value high to low or low to high, or name A to Z.
  • List view: switch from Board to List and move several deals at once with Move to stage.
Switch to List to sort every deal, then move several at once with Move to stage.
Keyboard

Can you move deals with the keyboard?

Yes. The 1flux deal board supports drag and drop by mouse, by touch (press and hold) and from the keyboard, with screen-reader announcements.

  1. Press Space to pick up the focused deal.
  2. Use the arrow keys to move it to another stage.
  3. Press Space to drop it, or Escape to cancel.
  4. Press Enter to open the deal.
  1. SpacePick up the focused deal
  2. ←or→Move it to another stage
  3. SpaceorEscDrop it, or cancel
  4. EnterOpen the deal
Every move on the board works from the keyboard, with screen-reader announcements.
Stage rules

What happens when a deal changes stage?

Every move on the 1flux board runs your workflow rules. If a rule isn't met, the card rolls back and a dialog lists what's missing. If the stage needs approval, the move becomes an approval request instead.

Live view

A deal can't enter Proposal until its requirements are met. The board checks every move.
View as text
  1. Imran Raza drags the deal "Chilled water pumps" from Qualified towards Proposal.
  2. The board rolls the card back and opens "This stage change needs attention". The Proposal stage has two requirements to complete: a deal value and the checklist item "Site survey done".
  3. Imran adds the deal value, AED 186,000, and marks the checklist item done.
  4. The deal moves to Proposal, and the column counts and totals update. Every move on the board runs the same stage rules.

When a move is blocked, the “This stage change needs attention” dialog asks for the reason, the open checklist items or the missing fields. Admins set the rules per stage under Settings → Workflows, without code:

  • Assignment when a deal enters the stage: Leave unchanged, Acting user, Fixed member, Round robin or Role round robin.
  • Service level: hours allowed in the stage, with “3h left” and overdue badges, so you see at a glance which deals are running late.
  • Entry criteria: required fields and checklist items.
  • Approval: any, all or a quorum of chosen approvers, in an approval workflow that can send the deal back to an earlier stage on rejection.
  • Transition rules: block specific moves, require a reason or make stages forward-only. Marking a deal lost always needs a reason.
  • Automations on entering or leaving a stage: send a notification, create a linked task or update a field.

Approvers decide in the Approvals inbox or inline on the deal. Read more about workflows and approvals

Won and lost

How are won and lost deals recorded?

1flux keeps two registers next to the board: Won deals and Lost deals. Each covers your full history, not just the board’s month, with Count and Value tiles and filters for salesperson and won or lost date.

  • Lost reason: always required when a deal moves to a lost stage. The salesperson writes it in their own words, and it shows on the deal, on the Lost deals page and in the deal-lost email.
  • Board window: choose how long won and lost deals stay on the board: always, 7 to 180 days or 1 year (the default is 30 days).
  • Win celebration: confetti when a deal is won, which you can turn off.
Lost deals keep their reason on record, across your full history.
Deal record

What's on a deal record?

The 1flux deal record shows where the deal stands, how it got there and what’s attached to it.

  • Tiles: In stage, Deal age, Tasks and Projects.
  • Overview tab: “Workflow health”, with the stage service level, a stage checklist to tick and any pending approval.
  • History tab: every stage and owner change, with the time spent in each stage, the reason and Sent back, Rejected or Override badges.
  • Notes and Tasks tabs, plus a tab per task type you choose to show on deals.
  • Projects tab: Link project, New project or Unlink. A deal can link to several projects.
  • Quotations tab: New quotation and Request quotation.
The History tab: every stage change, how long the deal waited and why it moved.
Quotation requests

How does a salesperson request a quotation from a deal?

From the deal's Quotations tab, Request quotation asks a colleague to prepare the quote. The request takes a title, up to 200 lines (catalogue items or free text), currency, a required-by date, priority, notes and attachments.

  1. Requested (From the deal).
  2. Approved (Optional manager step).
  3. Assigned (Nour Khalil).
  4. In preparation (Draft quotation).
  5. Quoted (Moves when sent).
A request moves from Requested to Quoted, and moves to Quoted by itself when the quotation is sent.
Stage What it means
Requested The salesperson has asked for a quote
Approved A manager has approved it (optional step)
Assigned Someone has been chosen to prepare it
In preparation A draft quotation is being built
Quoted The quotation has been sent to the customer
Rejected The manager declined it, with a reason

Requests are numbered with a QREQ reference and queue under Quotations → To do. Create quote opens a draft with the company, deal and lines already filled in, owned by the requesting salesperson. When it’s sent, the request moves to Quoted on its own. See quotations.

How it works

How do you set up the pipeline?

Stages first, then the rules, then the deals.

  1. Set your stages

Under Deal settings: name, colour, outcome (Open, Won or Lost) and order. Defaults: Lead, In Progress, Won, Lost.

  2. Add stage rules

Under Settings → Workflows: owners, time limits, required fields, approvals and automations.

  3. Create deals

On the board, linked to a company and, where it fits, a project.

  4. Move deals

Across the board. The rules check every move.

  5. Request or build the quotation

    From the deal's Quotations tab.

  6. Close the deal

As won or lost, with a reason when it's lost.

FAQ

Questions, answered

Can a deal need approval before it moves to the next stage?

Yes. In 1flux, any deal stage can need approval from any, all or a quorum of chosen approvers. Moving a deal into that stage creates an approval request instead of moving it. Approvers decide in the Approvals inbox or on the deal itself, and a rejection can keep the deal where it is or send it back to an earlier stage.

How does 1flux record why a deal was lost?

1flux always asks for a reason when a deal moves to a lost stage, and the move can't finish without one. The salesperson writes the reason in their own words, and it appears on the deal record, on the Lost deals page and in the deal-lost email to the owner's manager, so the weekly review can see why each deal was lost.

Can each salesperson see only their own deals?

Yes. In Restricted mode, which new 1flux workspaces start in, each salesperson sees their own deals and managers see their team's deals as well. The salesperson filter shows only to managers and admins, so a rep with no team never sees a list of colleagues. People assigned to a company also see that company's deals.

Can you move deals on the board with the keyboard?

Yes. The 1flux deal board supports drag and drop by mouse, by touch and from the keyboard, with screen-reader announcements. Press Space to pick up the focused deal, use the arrow keys to move it to another stage, then press Space to drop it or Escape to cancel. Press Enter to open the deal. Every keyboard move runs the same stage rules as a drag.

Can a salesperson ask a colleague to prepare a quotation?

Yes. 1flux adds Request quotation to every deal's Quotations tab. The salesperson gives a title, up to 200 lines, a currency, a required-by date, priority, notes and attachments. The request moves through Requested, an optional manager approval, Assigned, In preparation and Quoted, and Create quote opens a draft with the company, deal and lines already filled in.

Can we change the pipeline stages?

Yes. Admins set 1flux deal stages under Deal settings: a name, a colour and an outcome of Open, Won or Lost for each, dragged into the order you want. New workspaces start with Lead, In Progress, Won and Lost. Rules for assignment, time limits, required fields, approvals and automations are then added per stage under Settings → Workflows, without code.
