Set up your Saudi company with the right numbers

When you create a Saudi legal entity in 1flux, the profile asks for what Saudi documents need:

  • Identity: registered legal name, Arabic legal name and legal form: Limited Liability Company (LLC), Joint Stock Company, Simplified Joint Stock Company, Sole Proprietorship, General Partnership, Limited Partnership or Foreign Company Branch
  • Registrations: commercial registration (CR) number, checked for 10 digits; unified national number; VAT registration number, checked for 15 digits starting and ending with 3; group VAT registration number; and zakat certificate number
  • National address: building number, street, district, additional number and the national short address, with Arabic address lines
  • Documents: logo, signatory and default bank details with IBAN and SWIFT

A Document readiness score flags what’s missing, such as the CR or the building number, before your first quotation goes out. On quotations, your issuer block reads “Commercial Registration (CR)” and “VAT registration number”, and lays out your national address in Saudi order.

The Saudi National Address, structured and validated

1flux stores customer addresses as a structured Saudi National Address: short address, building number, street, secondary number, district, unit, postal code and city. Arabic twin fields hold the street, district, city and address line in Arabic.

The Paste national address helper fills the fields from a single pasted line. Set Saudi Arabia as your default country and the national address fields appear straight away. Company imports carry national address columns and validate them, and quotations print both the buyer’s and your own national address. Supplier records support the national address too.

VAT at 15%, applied line by line

1flux seeds Saudi VAT codes when you create the entity: Input VAT 15%, Output VAT 15% and Zero-rated. These are VAT-ready tax codes, applied per line with dated rates, so earlier documents keep the rate they were issued at.

  • Each item carries its own inward and outward tax code
  • Quotations, sales orders, invoices and purchase orders calculate VAT per line
  • Sales invoices post output VAT and purchase invoices post input VAT, each to its own account

Buy and receive with LPOs and GRNs

Saudi supplier records hold the supplier’s VAT registration number, commercial registration, Arabic name, national address and credit terms. Buyers compare supplier quotes side by side and award each line with a reason. Issued orders print as a local purchase order (LPO) with your letterhead and registrations.

Stores record a goods received note (GRN) with the delivery note number and a photo, which is required when the outcome is Checked & approved. A separate goods receipt report posts stock and the journal, with a reason for every shortage.

E-invoicing

ZATCA e-invoicing, built in

ZATCA's e-invoicing rules apply to VAT-registered businesses in Saudi Arabia. Phase 1 (generation) has applied to all of them since 4 December 2021, so a Saudi company needs a compliant e-invoicing solution today, not only when its Phase 2 wave arrives.

Phase 2 integration now reaches taxpayers whose VAT-subject revenue exceeded SAR 187,500 in any year from 2022 to 2025, with a Fatoora integration deadline of 1 February 2027.

Can we invoice customers elsewhere in the GCC in their own currency?

Yes. 1flux documents can carry any currency, and three-decimal currencies such as KWD, BHD and OMR round correctly to three decimal places. Foreign-currency invoices store both the transaction amount and your base-currency amount, and realised exchange gains or losses post automatically when the customer pays. Customer records keep their own address, currency and credit terms.

Can customers in Saudi Arabia accept quotations online?

Yes. Once a quotation is sent, the customer opens its secure link, which can carry a password and an expiry, and accepts or declines by typing their name, with an optional note. You can also share the link on WhatsApp from your own number. The customer's Arabic name prints correctly on the PDF they see.
