In short
1flux runs multi-warehouse inventory management for trading and distribution companies. Every warehouse belongs to one legal entity, and stock is shown as on hand, reserved, available and awaiting receipt per warehouse. Activating a sales order reserves its stock and sends it to a warehouse board, where storekeepers pick and dispatch without seeing prices. Each dispatch creates a delivery note that reduces stock and posts cost of goods sold.

- Sales order SO-2026-0042 has been activated, so it waits in To pick on the warehouse board, flagged Due today. The board shows quantities and delivery details only.
- The storekeeper chooses Start picking and the card moves to Picking.
- They choose Confirm all picked and the order moves to Ready to dispatch, where Review and dispatch opens the pick list.
The problem
With two or three sites, the questions multiply.
“Which warehouse has it? Is that stock already promised?”
“Did the van take it, or is it still on the shelf?”
“Sales calls the store, the store checks a sheet and the sheet is a day old.”
“The driver's copy shows the prices, and so does the picker's.”
“Nobody can say which of four partial deliveries reached the customer.”
Warehouses that belong to the right company
In 1flux every warehouse belongs to one legal entity. Each entity has its own base currency, costing method and stock valuation, and every inventory page follows the entity chosen in the top bar. Warehouses of different companies never share stock or books.
- The first warehouse for each entity is created automatically (“Main warehouse”, WH-MAIN).
- Each warehouse has a name, a code (fixed once created), its legal entity (fixed), a time zone, a status and a default flag.
- Set each location up as a warehouse, a store or a van, so stock on a van is tracked like stock in any other location.
- New warehouse… adds a warehouse without leaving a transfer form.

1flux Inventory shows stock per item and per warehouse in three places:

Reserve stock as soon as an order is activated
A stock reservation in 1flux starts when operations choose Activate and reserve stock on a confirmed sales order. 1flux reserves each line's outstanding quantity in the order's Fulfil from warehouse and puts the order on the warehouse board.

- The Jebel Ali warehouse holds 240 gate valves on hand.
- Operations activate sales order SO-2026-0042 with Activate and reserve stock, which reserves 90 of them.
- Available is on hand less reserved: 150 gate valves can still be promised.
- Issued purchase order PO-2026-0012 adds 120 more as awaiting receipt. They count as stock only once a goods receipt report posts.
- Available = on hand less reserved, so sales can see what’s still free to promise.
- Put order on hold (with a reason) or cancelling the order releases the stock reservation. Dispatch fulfils it.
- A transfer can’t take reserved stock.
Move stock between warehouses with a transfer
A stock transfer moves stock between two warehouses of the same legal entity. Choose the route (From, To, Transfer date), add lines and post. Each line shows “N available” or “Only N available” as you type.
Stock moves at its cost, so the transfer shows the value moved and no journal is needed within one entity. Transfers run Draft → Posted → Reversed, numbered TRF-2026-0001 and so on.
How multi-warehouse inventory management works on the warehouse floor
1flux gives the warehouse its own overview and board, so multi-warehouse inventory management covers picking and dispatch as well as stock figures.
The Warehouse overview shows tiles for To pick, Picking, Ready to dispatch and Dispatched today, charts for dispatches per day and order age by stage, and a Needs action list: “N orders have waited over 24 hours to be picked”, “N picks are short of stock” (naming the items), “N orders are partially delivered” and “N dispatches are due today”.
The Warehouse board has three columns: To pick → Picking → Ready to dispatch.
- Start picking and Confirm all picked move a card in one click.
- Flags show Waiting over 24 hours, Short of stock, Part delivered and Due today.
- Filter by warehouse, and search by order, item or destination.
- Switch between Board and List, or open Full screen for a wall display (Esc to leave).
Only active, confirmed orders with a warehouse appear on the board.

- Then 4 dispatches are due today.

- Each row opens exactly the orders behind it. Tiles show To pick, Picking, Ready to dispatch and Dispatched today.
Dispatch in full or in part, with a delivery note
The storekeeper opens the order’s pick list (Item, Ordered, Picked, Dispatched, Remaining), enters a quantity per line, the vehicle number and driver name, and chooses Dispatch goods. In that one step, 1flux:
- creates a delivery note;
- reduces stock in that warehouse;
- posts Dr Cost of goods sold / Cr Inventory at the entity’s costing method;
- releases the line’s reservation and updates the delivered quantity;
- moves the order on the order-to-cash board.
Dispatch less than the remaining quantity, or 0 on a line, and the rest of the order returns to To pick as Part delivered · to pick. Service lines are never dispatched. The delivery note prints without prices.
- Ready to dispatch (SO-2026-0042) . Nothing posts.

No prices on warehouse screens
1flux removes prices, totals and credit terms on the server before warehouse pages load. They aren't just hidden on screen: the board, the pick list and the delivery note print carry quantities and delivery details only.

Can we run vans and stores as stock locations?
Yes. In 1flux a location can be set up as a warehouse, a store or a van, so stock loaded onto a van is tracked like stock in any other location. Each location belongs to one legal entity and shows on hand, reserved, available and awaiting receipt for every item. Loading or unloading a van is a transfer that moves the stock at its cost.
How do I see available stock in each warehouse?
1flux shows on hand, reserved, available and awaiting receipt for every item in every warehouse. The Inventory overview's On hand register filters by warehouse and stock state, each item record has an On hand by warehouse chart, and the Valuation report groups every stock position by warehouse with subtotals and CSV export. Available is on hand less reserved: what sales can still promise.
When is stock reserved for a sales order?
1flux reserves stock when operations choose Activate and reserve stock on a confirmed sales order. Each line's outstanding quantity is reserved in the order's Fulfil from warehouse, and the order appears on the warehouse board under To pick. Putting the order on hold, with a reason, or cancelling it releases the reservation, and dispatch fulfils it.
How do we move stock between warehouses?
1flux moves stock between two warehouses of the same legal entity with a stock transfer. Choose From, To and the transfer date, add lines and post. Each line shows how much is available as you type, and reserved stock can't be transferred. Stock moves at its cost, so the value follows it, and transfers run Draft → Posted → Reversed.
Can warehouse staff pick and dispatch without seeing prices?
Yes. 1flux strips prices, totals and credit terms on the server before the warehouse board, pick list and dispatch screens load, so they can't be revealed in the browser. Storekeepers see items, quantities, delivery addresses and warehouse notes, and the delivery note prints without prices too.
Can we dispatch part of an order?
Yes. On dispatch, enter less than the remaining quantity, or 0, on any line. 1flux creates a delivery note for what left, reduces stock, posts cost of goods sold and returns the rest of the order to the board as “Part delivered · to pick”. Finance can invoice each partial delivery separately.
