Collaboration

Collaboration where the work already is

1flux is a team collaboration ERP: calendar, notes, a company document library and notifications sit next to your customers, orders and stock, not in another app.

In short

1flux keeps your team's coordination on the records it's about. A shared calendar merges meetings, reminders and tasks due. Notes with comments and emoji reactions sit on companies, contacts, projects and deals. Knowledge keeps company documents, such as the trade licence, with validity dates and role-based download. An in-app inbox, plus email for key events, tells each person what needs them.

One calendar for meetings, reminders and tasks due, including follow-ups from daily sales reports.
The problem

The work is in one place, the conversation in another

In most growing B2B companies, the records live in one system and the coordination lives everywhere else.

  • “My visit notes are in my phone, and the next step is in a WhatsApp group.”

  • “The follow-up I promised in Monday's meeting was forgotten by Thursday.”

  • “Someone asks for the latest trade licence in the group chat every time a tender needs it.”

  • “Approvals and updates arrive by email, separate from the record they're about.”

On the record

How does a team collaboration ERP differ from a chat app?

In a team collaboration ERP, the conversation is attached to the record. In 1flux, the note is on the company, the follow-up is on the calendar, the approval is on the quotation and the trade licence is on the legal entity. The same permissions apply, and nobody copies anything between apps.

Calendar

A calendar with meetings, reminders and tasks due

The 1flux calendar shows everything with a date in one view.

  • Views: Day, Week and Month, with Today and a My tasks only switch.
  • New meeting and New reminder, with title, date, start and end time, colour, location, description and attendees from your workspace.
  • Tasks due appear alongside, including follow-ups created from daily sales reports, and overdue items stand out.
  • Google Calendar: connect your Google account and the meetings you create in 1flux are pushed to your primary Google calendar. Each meeting shows whether it has reached Google.

Notes

Notes on the customer, not in someone's phone

1flux notes are rich text: headings, bulleted and numbered lists, checklists, highlights, links and quotes. Each note links to the records it’s about:

  • a company, the people involved, a project and a deal;
  • when there’s only one possible answer, 1flux fills in the missing links for you, so a note on a deal also appears on its company;
  • every company, contact, project and deal page has a Notes panel showing what’s been written.

Colleagues reply with comments and emoji reactions, so a manager can respond to a visit note without a separate message. Notes follow the same visibility as the records they’re attached to.

Knowledge

Knowledge: the company documents everyone keeps asking for

Knowledge is a library of company documents organised by legal entity: trade licences, tax certificates, policies and similar files.

  • Each document has a name, Valid from and Valid until dates, and your own label and value fields.
  • Who can download it: all members, or selected roles only.
  • Members search by name and filter by entity. PDFs open in an in-app viewer, and images preview.

When the sales team needs the current trade licence for a tender, they find it in Knowledge and can see whether it’s still valid. See how entities work on the multi-entity page.

Notifications

Notifications that reach the right person

1flux tells people what needs them, in the app first.

  • In-app inbox: the bell in the top bar updates in real time, with an unread count, Mark as read and a section for pending approvals.
  • Email for 19 key events: invitations and password resets; a deal created, won or lost; a project created; a task assigned, due soon, overdue or commented on; a comment on a deal note; quotation approvals and requests; and workflow approval requests and decisions.
  • A workspace switch turns all outgoing email off. In-app notifications carry on.

Follow-ups

Follow-ups that land on the calendar by themselves

The commitments made in customer meetings shouldn’t depend on memory. In 1flux:

  • Daily sales reports: when a salesperson logs a visit with a next action and a follow-up date, 1flux creates a task for them that appears on the calendar. See daily sales reports.
  • Task reminders: assignees get due-soon and overdue reminders in the app and by email. Followers added with Notify also stay informed in the app. See 1flux Tasks.
  • Approvals: requests wait in one inbox, with a count in the sidebar. See workflows and approvals.

One flow

Connected to the rest of 1flux

Collaboration sits on the same records as sales, tasks and approvals, so the follow-up and the conversation travel with the work.

  1. Daily sales reportsVisit follow-up → task
  2. TasksTask due → calendar
  3. Calendar and inboxApproval → inbox
  4. Workflows and approvals
  • Daily sales reports: a posted visit with a next action and a follow-up date becomes a task for its author.
  • Tasks: due dates land on the calendar, and assignees get due-soon and overdue reminders.
  • Workflows and approvals: approval requests wait in the inbox, with a count in the sidebar.
  • Google Calendar: meetings push to Google Calendar. See 1flux integrations.

FAQ

Can 1flux push meetings to Google Calendar?

Yes. Meetings push to Google Calendar. Connect your Google account, and the meetings you create in 1flux are created, updated and deleted on your primary Google calendar. Each meeting shows whether it has reached Google. On the 1flux calendar itself, those meetings sit alongside your reminders and tasks due, including follow-ups from daily sales reports.

Does 1flux send reminders?

Yes. Task assignees get due-soon and overdue reminders in the app and by email, and followers are notified in the app. Follow-ups from daily sales reports become tasks, so they get the same due reminders as any other task and appear on the calendar on their due date, beside meetings and reminders.

Can colleagues reply to notes in 1flux?

Yes. 1flux notes support comments and emoji reactions, so a manager can respond to a visit note on the record itself, without a separate message. To bring someone in on a piece of work, assign them a task or add them as a follower with Notify also: followers are notified in the app when the task changes.

Can we control who downloads company documents?

Yes. Each document in 1flux Knowledge has a Who can download it setting: all members, or selected roles only. Documents are organised by legal entity, carry valid-from and valid-until dates, and open in an in-app viewer for PDFs. Downloads use signed links that expire after 5 minutes.

Where can staff find the current trade licence?

1flux Knowledge keeps company documents, such as trade licences, tax certificates and policies, organised by legal entity. Each document carries Valid from and Valid until dates, so staff can see at once whether the copy they've found is still current. Members search by name and filter by entity, and PDFs open in an in-app viewer.

Which events does 1flux send emails for?

1flux emails people for 19 key events: invitations and password resets; a deal created, won or lost; a project created; a task assigned, due soon, overdue or commented on; quotation approvals and requests; and workflow approval requests and decisions. The in-app inbox updates in real time, and a workspace switch turns all outgoing email off.
