Tasks that stay attached to the customer, deal and project
Task management for sales teams in 1flux: follow-ups, quotation to-dos and requests as typed tasks with their own stages and rules, on a board, a list or the calendar.
In short
Tasks in 1flux are shared across the CRM, Inventory and Accounting apps. Every task has a type with its own ID prefix, stages and workflow rules. It has one assignee plus followers and links to the company, deal, contacts, project or quotation it belongs to. Your team works them on a board, a list or a calendar, and the assignee gets due-soon and overdue reminders in the app and by email.

Where do sales follow-ups go missing?
Sales teams make a lot of promises: send the datasheet, chase the customer's PO, visit the site on Tuesday. Most of them are tracked in notebooks, chat threads or a to-do app that knows nothing about the customer.
“Follow-ups from meetings get forgotten.”
“Our to-do app doesn't know which deal a task is for.”
“Requests to the technical team disappear into WhatsApp.”
“Nobody is reminded until the customer calls to complain.”
What does task management for sales teams look like in 1flux?
In 1flux, a task is a piece of work with a type, a stage, one assignee and a due date, linked to the records it’s about. Because tasks live next to companies, deals and quotations, a salesperson sees them on the record and on their own list.
- One assignee (“Assigned to”, defaulting to you) plus followers added with Notify also.
- Priority of Low, Normal, High or Urgent, where the task type uses it.
- Comments with file and image attachments.
- Attachments with captions: images up to 5 MB and documents up to 50 MB by default.
- Time in each status shows how long the task sat in every stage, and Task history records stage and assignee changes.
- Due tags: Delayed, At risk and phrases like “Due in 5h”.

What are task types?
Task types let each kind of work have its own name, numbering and stages. Admins create them under Settings → Task types with Add a task type, for example a site visit, a sample request or a datasheet request.
- Name and plural name, such as “Site visit” and “Site visits”, and a colour.
- Identifier format: a prefix, the number of sequence digits, a format and the next number, with a live preview such as TASK-000001.
- Stages of its own. The defaults are To do, In progress, In review and Done.
- Priority on or off for the type.
- Due-soon window (hours) that decides when reminders start.
- Keep done work visible for a set time, from 24 hours to 1 year, so the board stays clean.
- Show as a tab on deals, so a type such as “Sample request” gets its own tab on every deal record.
Each type also gets its own sidebar entry and a “Create {type}” command in the ⌘K command palette.

Can each task type have its own workflow?
Yes. Every 1flux task type has a Workflow tab with the same stage rules as deals and quotations, configured without code.
- Assignment when a task is created or enters a stage: leave unchanged, acting user, fixed member, round robin or role round robin.
- Service level: hours allowed in a stage, with “3h left” and overdue badges.
- Entry criteria: required fields and checklist items before a task can enter a stage.
- Approval: any, all or a quorum of chosen approvers, decided in the Approvals inbox.
- Transition rules: block moves, require a reason or make stages forward-only.
- Automations: send a notification, create a linked task or update a field.

Board, list or calendar?
All three, from the same filters. The 1flux tasks page switches between Board, List and Calendar, with a summary strip of Open, Due today, Overdue and Completed.
| View | Best for |
|---|---|
| Board | Dragging tasks between the stages of one task type |
| List | Sorting by due date, priority, title or recent changes |
| Calendar | A month grid of due dates, with an Unscheduled section for tasks without one |
- Filters: task type, stage, assignee and due date (Any, Today, Due soon, Overdue, Upcoming, Unscheduled).
- Show older completed brings back finished work when you need it.
- The shared 1flux calendar also shows tasks due beside meetings and reminders, in day, week and month views. See calendar, notes and notifications.
How do tasks link to customers, deals and projects?
Each 1flux task can link to a company, a deal, contacts, a project or a quotation, and appears on those records.
- Deals show a Tasks tab, plus a tab for each task type set to show on deals. See the deal pipeline.
- Projects count open, overdue and due-today tasks on the project page.
- Quotations have a to-dos panel, and the quotations register shows open and overdue to-do counts.
- Workflow automations can create a linked task when a deal, quotation or sales order enters a stage.
- Daily sales reports turn every visit with a next action and a follow-up date into a task. See the daily sales report.

Will people be reminded before a task is late?
Yes. 1flux sends a due-soon reminder when a task enters its type’s due-soon window (24 hours by default), and overdue reminders for up to 72 hours after the due date.
- The assignee gets the reminder in the app and by email.
- The creator and followers get it in the app.
- Task assigned, task comment, due-soon and overdue events are among the emails 1flux sends. An admin can switch all outgoing email off for the workspace.
- Task created (One assignee, followers).
- Due soon (24 hours before, by default).
- Due (Due date and time).
- Overdue (Reminders for up to 72 hours).
What is the submittal request task type?
1flux includes a built-in Submittal request task type for project suppliers. You can raise a submittal request on a project and route it to submittal coordinators, with SUB-numbering, stages and time limits. New requests rotate among people with the Submittal coordinator role. See projects for how requests are raised.

Can I link a task to a deal or a customer in 1flux?
Yes. Every 1flux task can link to a company, a deal, contacts, a project or a quotation, and shows up on those records. Deals have a Tasks tab, quotations have a to-dos panel and project pages count open and overdue tasks. Follow-ups from daily sales reports are linked to the company, project and contacts automatically.
Can different kinds of tasks have different stages?
Yes. In 1flux each task type has its own stages, ID prefix and format, colour, priority setting and due-soon window. A "Sample request" type can run Requested, Sent and Received while a general task runs To do, In progress, In review and Done. Each type can also have its own workflow rules and appear as a tab on deals.
Can a task need approval before it moves to the next stage?
Yes. 1flux workflows apply to tasks per task type, so a stage can need approval from any, all or a quorum of chosen approvers. The move becomes an approval request, decided in the Approvals inbox, and a rejection can send the task back to an earlier stage. Stages can also require fields or checklist items first.
Does 1flux send task reminders?
Yes. 1flux sends a due-soon reminder when a task enters its type's due-soon window, which is 24 hours by default, and overdue reminders for up to 72 hours after the due date. The assignee gets them in the app and by email; the creator and followers get them in the app.
Can workflow automations create tasks in 1flux?
Yes. 1flux workflow automations can create a linked task when a deal, quotation, sales order or task enters a stage, and can also send a notification or update a field. A deal moving to a new stage can, for example, create a task for the next step, linked to the deal it came from. Admins set these rules without code under Settings → Workflows.
Which views does 1flux offer for tasks?
1flux shows tasks on a board, a list or a calendar, from the same filters. On the board you drag tasks between the stages of one task type, the list sorts by due date, priority, title or recent changes, and the calendar shows a month grid of due dates with an Unscheduled section. A summary strip counts Open, Due today, Overdue and Completed tasks.
