1flux accounts receivable software is built into the order flow. Sales invoices post the receivable as they're raised from delivered quantities. Customer payments settle one or several invoices and post any realised FX gain or loss. The problem

Why don't receivables agree with the ledger?

Receivables are where sales and finance most often disagree, and month-end is when it shows.

  • The aging lives in a spreadsheet

    It is rebuilt from the bank statement, and overdue invoices surface only when someone asks.

  • Payments land in the wrong place

    A payment hits the wrong invoice, or a foreign-currency difference sits in a suspense account.

  • The total doesn’t tie

    At month-end, receivables don’t match the control account, and someone spends a day finding out why.

Sales invoices

Every sales invoice posts the receivable

In 1flux, sales invoices are raised from the sales order, for quantities that have actually been delivered. Posting one writes the accounts receivable entry immediately: the customer’s receivable against sales revenue and output VAT.

  • Invoice what left the building. Stock lines can be invoiced up to the delivered quantity; services can be invoiced without a delivery. Partial invoicing is supported.
  • VAT per line, at the rate in force on the invoice date.
  • Foreign currency with the exchange rate stored on the invoice, plus both amounts on the journal.
  • Statuses: Posted, unpaid; Partially paid; Paid; Overdue; Void.
  • Double-submit safe. A repeated click returns the invoice already posted.
  • Void with a reason while nothing has been paid against it. 1flux posts a full mirror journal and the quantities become invoiceable again.

Posting stops with a fix-it message if a posting account isn’t mapped, the period is closed or an exchange rate is missing. See sales orders and fulfilment for the delivery side.

Payment terms

Credit days that count from the right date

Each customer in 1flux has credit days, from 0 to 365, and a basis that says when they start counting. The invoice’s due date follows automatically. For example, 30 days from statement date on an invoice dated 12 October falls due on 30 November.

You can also cap each customer’s credit days under Customer credit terms. A sales order that goes beyond the cap is refused (“Credit days cannot exceed {customer}’s limit of N”) unless the user holds the override permission, so salespeople can’t quietly stretch terms.

Customer payments

Record payments once, across many invoices

Finance records customer payments in the Accounting app, from Customer payments, from an invoice or from a sales order.

  1. Choose the customer, then enter Amount received and Payment date.
  2. Pick the Method: Bank transfer, Cash, Card, Cheque or Other. Add the bank reference or cheque number.
  3. Choose Deposited into: any active cash or bank account of the entity.
  4. Under Apply to invoices, choose Apply oldest first, or adjust the allocation by hand.
  5. Choose Record payment.

One payment settles any number of open invoices for the same customer, legal entity and currency. 1flux debits the bank or cash account and credits the receivable. A payment can be voided with a reason, which posts a mirror journal and reopens its invoices.

  1. An accountant opens Record customer payment and chooses Harbourline Contracting LLC. Its open invoices are listed, oldest due first.

Multi-currency

Foreign-currency customers, settled correctly

When a customer pays a foreign-currency invoice, 1flux clears the receivable at the rate the invoice was booked at. The bank side uses the rate on the payment date. The difference posts to FX gain or loss automatically, as a realised gain or loss.

Rates come from the daily rates you enter. 1flux takes the latest rate on or before the date and can use the inverse pair. If no rate exists, posting stops and points you to the exchange rates setting.

The Receivables page shows what customers owe from posted sales invoices, aged by how long they’re past due.

  • Tiles: Open receivables, Overdue, Over 90 days and Ledger difference.
  • Receivables aging by due date in five buckets: Current, 1–30 days, 31–60 days, 61–90 days and Over 90 days.
  • A table per customer across every bucket.
  • One click filters to overdue customers, or to those over 90 days.
  • CSV export, in the entity’s base currency.

Ledger check

How does 1flux accounts receivable software prove the numbers?

The Ledger check card compares three figures for the entity: Receivable accounts in the ledger, Open sales invoices and Journals without a customer. It shows Reconciled when they agree and Difference when they don’t.

This works because every 1flux invoice and payment posts through the same gateway, with the customer recorded on the journal line. If someone posts a manual journal to a receivable account without a customer, it appears under Journals without a customer, so you know where to look. Read more about automated posting.

Open any customer from the receivables table for their statement.

Needs action

Overdue invoices come to you

You don’t need to run a report to find late payers. When invoices pass their due date, 1flux adds a row to the Needs action list on two overview pages, for people allowed to see receivables:

  • Accounting overview: the overdue total and the number of customers, with how much is more than 60 days late. View aging opens the receivables page filtered to those customers.
  • Sales overview: the same total, with the number of invoices past due and the oldest due date. View receivables opens the same filtered list.

Both rows sort by severity, ahead of routine work. The invoice itself shows Overdue as soon as it passes its due date.

How it works

From delivery to a reconciled month

Five steps take an order from the warehouse to a receivables total you can prove.

  1. Deliver

    The warehouse dispatches the order and a delivery note posts.

  2. Invoice

    Finance opens Ready to invoice, picks quantities and chooses Post invoice. The due date follows the customer’s credit basis.

  3. Collect

    Record the payment, apply it oldest first and choose the bank account.

  4. Chase

    Overdue rows on the overviews show who is late.

  5. Reconcile

    The ledger check confirms receivables match the control account; statements export for each customer.

Can one payment settle several invoices?

Yes. A single customer payment in 1flux can be applied across any number of open invoices for the same customer, entity and currency. Apply oldest first allocates it by due date, and you can adjust the split by hand. Each invoice then shows Partially paid or Paid, and the payment posts one journal.

Does 1flux reconcile receivables to the general ledger?

Yes. The Ledger check card in 1flux compares three figures for each entity: receivable accounts in the ledger, open sales invoices and journals without a customer. It shows Reconciled when they agree and Difference when they don't. The statement exports to CSV, with Arabic customer names intact when you open it in Excel.

Can 1flux stop salespeople stretching payment terms?

Yes. 1flux caps each customer's credit days, so a sales order with longer terms is refused unless the user holds the override permission. Each customer's credit days, from 0 to 365, and their basis (invoice date, delivery date or month-end statement date) set every invoice's due date automatically, so terms agreed in sales are the terms finance collects against.

How does 1flux show overdue invoices?

1flux adds overdue balances to the Needs action list on the Accounting and Sales overviews, for people allowed to see receivables, with the amount, the number of customers and how much is more than 60 days late. Each row opens the receivables page filtered to those customers, and the invoice itself shows Overdue as soon as it passes its due date.

Does 1flux handle customers who pay in foreign currency?

Yes. When a customer pays a foreign-currency invoice, 1flux clears the receivable at the rate the invoice was booked at and uses the payment date's rate on the bank side. The difference posts automatically as a realised FX gain or loss. Rates come from the daily rates you enter, and a missing rate stops posting with an instruction rather than a guess.

Can 1flux print a sales invoice?

Yes. The Print button on a 1flux sales invoice opens a "Tax invoice" page with your entity's VAT number, the lines, VAT and totals, which you can save as PDF from the browser. 1flux also issues ZATCA-compliant e-invoices for Saudi Arabia and supports UAE e-invoicing under the Federal Tax Authority's programme.
