1flux vs QuickBooks

A QuickBooks alternative for inventory, trading and the books

1flux runs stock across warehouses, purchasing, receiving and sales orders for B2B traders on one AI-native platform, and keeps the books, with VAT returns and e-invoicing built in.

In short

If QuickBooks keeps your books but stock, purchasing and deliveries have moved to spreadsheets, 1flux is a QuickBooks alternative that runs inventory, the operations around it and the books in one system. 1flux is operations-first: quotations, sales orders, purchasing, receiving and multi-warehouse stock post their own journals, and 1flux Accounting adds supplier payments, a profit and loss and balance sheet for each legal entity, bank reconciliation, VAT returns and e-invoicing. AI works on the same records: Import PO with AI drafts quotations from a customer's PO.

Why teams switch

Why do traders choose 1flux as a QuickBooks alternative for inventory?

1flux treats stock as an operation that sales, purchasing and the warehouse share, not as a quantity column on an invoice. Every movement posts to the ledger in the same step, and the books live in the same system.

Stock by warehouse, with reservations

1flux Inventory shows On hand, Reserved, Available and Awaiting receipt for every item in every warehouse, store or van. Activating a sales order reserves its stock, so you only promise what you can deliver.

  • Transfers between warehouses, with "Only N available" hints.
  • Write-offs with a required reason, valued at cost.
  • Whole-warehouse counts, with an optional blind count.
Multi-warehouse stock

A costing method per company

Each legal entity chooses weighted average, FIFO or standard cost. Order now and agree the price later: receipts carry a provisional cost until the price is agreed.

  • One catalogue for goods, services and digital items, with names in up to 7 languages.
  • Packs per item, barcodes and A4 label sheets.
  • Valuation, cost audit and reconciliation reports export to CSV.

Purchasing and two-step receiving

Buyers send RFQs, compare supplier quotes side by side and award each line with a reason. Stores check goods in on a goods received note (GRN), and a separate goods receipt report posts stock and the journal.

  • A reason for every short, over or rejected quantity.
  • Purchase invoices built from what was received, and suppliers paid against them.
Goods receiving in 1flux

AI built in, from quotation to delivery note

1flux's AI works on the same structured, connected and permissioned records as your team. Import PO with AI drafts quotation lines from a customer's PO, and once the customer's PO is attached, the order reaches operations. Each dispatch creates a delivery note that reduces stock and posts cost of goods sold.

  • The warehouse picks from a board that shows no prices.
  • You invoice what was actually delivered.
AI in 1flux

Every company in one workspace

Each legal entity has its own currency, tax registration, warehouses and books, and its own document sequences. People can be limited to specific entities when you invite them, and a consolidation run combines the group.

Multi-entity in 1flux

The books, in the same system

1flux Accounting covers the bookkeeping for each legal entity, posted from the same documents your sales, purchasing and warehouse teams create.

  • Pay suppliers and allocate each payment to purchase invoices.
  • Profit and loss and balance sheet, straight from the ledger.
  • Reconcile bank accounts against the ledger.
  • Prepare VAT returns from posted VAT; ZATCA and UAE e-invoicing built in.

Cutover

How does the cutover from QuickBooks work?

You move the books on one cutover date, usually the end of a month or a year. QuickBooks keeps your history up to that date, and 1flux runs operations and the books from it.

Switching

How do you switch from QuickBooks to 1flux?

1flux's import tools are built for a data migration that starts on a clean cutover date. Each import is validated before anything is saved, and errors come back in a downloadable file.

  1. Export from QuickBooks

QuickBooks Online exports lists and reports, including customers, suppliers and the trial balance, to Excel.

  2. Set up your legal entities

Choose the UAE, Saudi Arabia or India for each. The country pack seeds tax codes and registration fields.

  3. Load your chart of accounts

Start from the one-click 25-account trading template, or import your own by CSV.

  4. Import customers and items

Companies and contacts up to 5,000 rows and 10 MB per file; items up to 10,000 rows, matched on code or barcode.

  5. Post opening balances

Opening stock (up to 10,000 rows, validated all-or-nothing) and the opening trial balance post once, on the cutover date.

Suppliers are created in 1flux or copied from your CRM companies in one step. Read more about planning the move in data import and migration.

FAQ

Questions, answered

Still deciding? Talk to sales

Is 1flux a QuickBooks alternative for inventory?

Yes. 1flux tracks stock on hand, reserved, available and awaiting receipt for every item in every warehouse. Sales orders reserve stock, transfers move it between warehouses, and counts and write-offs post their variances at cost. Each legal entity chooses weighted average, FIFO or standard costing. Every stock movement writes a balanced journal in the same step, and a Stock vs ledger check flags any difference.

Can 1flux replace QuickBooks completely?

Yes. 1flux runs quotations, sales orders, purchasing, receiving and stock, and keeps the books: automatic posting, receivables, supplier payments, a profit and loss and balance sheet for each legal entity, bank reconciliation, UAE and Saudi VAT returns, and ZATCA and UAE e-invoicing. Operations and accounting work on the same records, so stock and the ledger stay in step.

Does 1flux do VAT returns and e-invoicing?

Yes. 1flux prepares VAT returns for the UAE and Saudi Arabia from the input and output VAT already posted. It supports UAE e-invoicing under the Federal Tax Authority's programme, ready for the 2027 go-live dates, and issues ZATCA-compliant e-invoices for Saudi Arabia, covering Phase 1 and Phase 2. See e-invoicing in 1flux.

Can 1flux manage several companies in one account?

Yes. One 1flux workspace holds several legal entities, each with its own base currency, tax registration, letterhead, warehouses and books, and its own sequence for orders, invoices and journals. People can be limited to specific entities when you invite them, and a consolidation run combines the group into one currency. Legal entities can be registered in the UAE, Saudi Arabia and India.

How do we move from QuickBooks to 1flux?

1flux moves you on one cutover date. Export your lists and trial balance from QuickBooks to Excel, then bring in companies and contacts (up to 5,000 rows per file), items (up to 10,000 rows) and opening stock with the import workbench. Every file is validated before anything is saved, and the opening trial balance posts once, on the cutover date.

Can my team check stock and orders on the move?

Yes. 1flux is a responsive web app that works in any phone or tablet browser, with nothing to install, and drawer navigation and bottom-sheet switchers on small screens. Your team can check stock or orders on the move, and customers can open a quotation link on their phone and accept or decline it online by typing their name.
