All-in-one business management software, built on one foundation
With 1flux, sales, purchasing, stock and the books run all in one business management software, on one data model and one command layer with permissions, approvals and an audit trail. Rules are configuration, and AI works on top of the same records.

In short
The 1flux platform is the foundation under 1flux CRM, Inventory and Accounting, which together make 1flux all-in-one business management software and the AI-native ERP for B2B trade. Every app runs on one data model and one command layer with permissions, approvals and an audit trail, journals post through one gateway, and rules are configuration, not code. Multi-entity books, access that follows your org chart, a quotation designer and import tools sit on top, and so does AI: Import PO with AI turns a customer's PO into a draft quotation.
Why do stitched-together apps cost you time?
Most growing companies end up with a CRM, an inventory app and an accounting package that each keep their own customer list, their own logins and their own idea of who may see what. Syncs break quietly. Permissions drift. Someone exports a spreadsheet to find out which number is right.
1flux avoids that by having no separate products to connect. Every app reads and writes the same records, under the same rules.

What is the 1flux foundation?
1flux is built in layers, and every app runs on the same ones. That is what makes it all-in-one, and what lets AI do real work.
- One data model: customers, items, stock, orders and journals are the same records in CRM, Inventory and Accounting, and every document links to the one before it.
- One command layer: actions run through permissioned commands, with approvals and an audit trail. Stock commands already record their source: a person, an import, the system or AI.
- One posting gateway: every journal and stock movement is written through the same service, which checks the period, the balance and the account mapping.
- Rules as configuration: workflow stages, approvals and required fields are data, not code.
- AI on top: Import PO with AI works on the same records and rules, and turns a customer’s PO or RFQ into a draft quotation. Why the architecture matters and how AI stays inside your rules.

Why keep sales, stock and the books all in one business management software?
Because nothing has to be synced: in 1flux, every app runs on one login, one data model, one permission system and one settings area, so everything is the same record.
- 3 apps: CRM (“Customers, deals, quotations, and sales orders”), Inventory (“Stock, purchasing, receiving, and the warehouse”) and Accounting (“Journals, the chart, and consolidation”). Switch between them from the top bar or with ⌥1–9.
- Shared tools in every app: Tasks, Calendar, Knowledge and Approvals, plus Settings and your profile.
- One record across the flow: a company’s credit days, salesperson and addresses carry into its quotations, sales orders, invoices and statement.
- Several workspaces per login, with a workspace switcher for people who work across organisations.
You switch on the apps you need, and the 1flux team enables them for your workspace.
- One login, three apps: switch with ⌥1–3.
- The entity chip shows which company you’re working in.
Workflows and approvals you configure, not code
Admins decide how deals, quotations and tasks move under Settings → Workflows, and set time limits and automations for sales orders. Each stage can carry its own rules:
- Assignment: leave unchanged, the acting person, a fixed member, round robin or role round robin.
- Service level: allowed hours in a stage, shown as “3h left” or “overdue” badges on records.
- Entry criteria: required fields and checklist items; a blocked move lists what’s missing.
- Approval: any, all or a quorum of chosen approvers, with send-back on rejection. On quotations, rules can target amount bands.
- Transition rules: block specific moves, require a reason or make stages forward-only.
- Automations: send a notification, create a linked task or update a field when a record enters or leaves a stage.
An Approvals inbox shows what’s waiting for you. Requisitions and goods received notes have their own approval step, and journals separate preparing from posting. Read more about the approval workflow.
Access control that follows your org chart
1flux gives each person exactly the access their job needs, with each customer’s data isolated inside the database with PostgreSQL row-level security.
- Roles: custom roles built from more than 100 permissions in 15 module groups. A non-admin can’t grant permissions they don’t hold, and role changes are audited.
- Reporting lines: solid lines form the management tree and decide whose records a manager sees. Dotted lines add view-only or full access.
- Record visibility: choose whether everyone sees everything, or each person sees their own records and their team’s. New workspaces start restricted.
- People changes: “Reassign and deactivate” moves a leaver’s companies, deals, tasks and direct reports in one step. Disabling someone ends their sessions immediately.
- Field-level security on companies, contacts and items is available, configured with our team.
- Audit trails: an Activity tab on companies, contacts, items and suppliers; plain-sentence history on every procurement document; stage history on deals, tasks and sales orders; a per-entry trail on manual journals.
Run every legal entity from one workspace
1flux holds several legal entities in one workspace, each with its own books and identity.
- Each entity has its own country pack, base currency, time zone, registrations, Arabic legal name and address, logo, bank details, signatory, document numbering, warehouses, costing method and accounting periods.
- The entity switcher (⌘⇧E) always shows where you are working, for example “AE · AED”.
- Members can be limited to specific entities, set when you invite them.
- Issued quotations freeze the entity’s details at issue time, so later edits don’t rewrite them.
Group reporting runs from 1flux Accounting, where a consolidation run combines every entity’s ledger into a group currency.

- The finance manager is working in Sadaf Building Supplies LLC, whose books are in AED.
- They open the entity switcher in the top bar (⌘⇧E).
- They choose Sadaf Trading Company.
- The page now shows the books of Sadaf Trading Company in SAR. Each entity keeps its own currency, numbering, warehouses and books.
Overviews and a keyboard-first workspace
1flux opens each work area on what needs you, then gets out of the way.
- 7 overviews (CRM, Sales, Purchasing, Receiving, Warehouse, Inventory, Accounting) lead with a “Needs action” list of up to 6 severity-sorted rows, each opening exactly the records behind it.
- Command palette (⌘K): jump to any page, create a company, deal, quotation, sales order, purchase order or task, start a stock count, or search catalogue items.
- Shortcuts: ⌥1–9 switch app, ⌘⇧E switch entity, ⌘B toggle the sidebar, ? lists them all.
- 3 themes per person: Studio grey, Warm paper and Dark. Prints and PDFs always stay on white paper.
- Safe editing: unsaved-changes protection on heavy editors, and two people can’t silently overwrite each other’s edits.
- Any screen: works in any phone or tablet browser, with drawer navigation and bottom-sheet switchers, and nothing to install.
View as text
- The finance manager opens the Accounting overview.
- The most severe row comes first: AED 96,400.00 overdue across 5 customers.
- Then goods received not invoiced older than 30 days, and goods receipt reports still at provisional cost.
- Then draft journals waiting to post and the month-end close reminder: 3 of 6 close steps done.
- Each row opens exactly the records it counts.
Fit 1flux to your data without code
1flux lets admins adapt fields, rules and numbering without a developer.
- Custom fields on companies, contacts, items and more, in types such as text, number, select, date, currency, user, status and attachment. Sales orders and journal entries take custom fields too.
- Validation rules on catalogue fields (required, minimum and maximum, length, pattern, allowed values, defaults), enforced on forms, imports and bulk edits.
- Numbering formats for item codes, quotation numbers and task types, such as
TASK-000001. - Custom task types with their own stages, ID prefix and format, colour and workflow.
Quotations that look like yours
Document Studio is a drag-and-drop page designer for quotations, built into 1flux.
- 53 live quotation fields, line-item tables that continue cleanly across pages, and repeating headers and footers.
- 8 bundled font families plus your own TTF or OTF fonts, on A4, US Letter, landscape or custom pages, with 4 ready block layouts to start from.
- Arabic text is shaped and ordered correctly with an embedded Arabic font, so you can design Arabic and English layouts.
- On approval, the PDF is locked. The same file is emailed, shown on the customer link and downloaded.
Arabic-ready data and every currency
1flux handles Arabic data and multi-currency trading throughout.
- Arabic company, contact, supplier, item and entity names display correctly, and item search understands Arabic spelling variants.
- Item names in up to 7 languages, with right-to-left input for Arabic and Urdu.
- CSV exports open correctly in Excel, Arabic included.
- Any currency per document, correct rounding for three-decimal currencies, manual daily exchange rates and realised FX posted automatically. A missing rate blocks posting with an instruction; no currency is ever assumed.
Tasks, calendar, notes and notifications
1flux keeps follow-ups and team knowledge next to the records they belong to.
- Tasks in board, list and calendar views, linked to companies, deals, contacts, projects or quotations, with due-soon and overdue reminders. See 1flux Tasks.
- Calendar with meetings, reminders and tasks due, and meetings pushed to Google Calendar.
- Notes in rich text, linked to companies, contacts, projects and deals, with comments and reactions.
- Knowledge: a library of company documents per legal entity with valid-from and valid-until dates and role-based download.
- Notifications: a real-time in-app inbox, plus email for 19 key events such as approvals, task assignments and won deals.
Bring your data in, take it out
1flux has one import workbench for companies, contacts and items: add data, map columns, validate, then commit.
- Upload CSV or Excel, or paste from a spreadsheet. Companies and contacts take 5,000 rows per file; items take 10,000.
- Every row is validated on the server before anything is saved, and a downloadable error file shows what to fix.
- Opening stock and an opening trial balance import and post on your cutover date.
- Bulk edit up to 5,000 companies or items in a spreadsheet grid, with a review of every change.
- Export companies and contacts to CSV or Excel, items to Excel, and ledgers, receivables and stock reports to CSV.
Planning a move from spreadsheets or another system? Start with data migration basics.
- Add data (CSV or Excel).
- Map columns.
- Validate (Every row checked): 1 row needs a fix.
- Result (With an error file).
What connects to 1flux, and how is your data protected?
1flux connects to the everyday tools your team already uses, and isolates each customer's data inside the database.
What connects to 1flux?
Google sign-in, meetings pushed to Google Calendar, email delivery of quotations and notifications, and WhatsApp sharing for quotations. Files sit in S3-compatible storage, and CSV and Excel import and export move data in and out.
Security built into the data layer
Each customer's data is isolated inside the database with PostgreSQL row-level security, not just in application code. Downloads use signed links that expire after 5 minutes, uploads are checked by file signature, traffic runs over HTTPS, and every deployment takes a verified database backup first.
AI on the same foundation
1flux’s AI works on the foundation, not beside it. Import PO with AI reads a customer’s PO or RFQ (PDF or photo, up to 10 MB), drafts up to 200 quotation lines matched to your catalogue and shows a confidence score. It never invents values.
Like every part of 1flux, it works on structured, linked and permissioned records, and an AI-drafted quotation follows your normal approval rules before anyone can send it.
View as text
- A salesperson opens a new draft quotation and chooses Import PO with AI.
- They drop in the customer's purchase order, PO-4471.pdf.
- 1flux imports 8 lines with a 94% confidence score: it fills the customer reference (PO-4471), the quote date and the currency (USD), and matches each item code to the catalogue.
- The salesperson chooses the customer and checks the totals. The source file stays attached to the quotation.
What is all-in-one business management software?
1flux is all-in-one business management software for B2B companies: one system that runs sales, purchasing, stock and accounting instead of separate apps. CRM, Inventory and Accounting share one login, one data model and one permission system, and every operational document posts its own journal. Software like this is a form of ERP.
Do 1flux CRM, Inventory and Accounting share one database?
Yes. All three 1flux apps read and write the same records in one database, so there is nothing to sync. A customer's credit terms from CRM apply to its sales orders and invoices, a goods receipt in Inventory posts its own journal in Accounting, and one set of roles and reporting lines controls access everywhere.
What is the 1flux command layer?
1flux runs actions through one command layer, with permissions, approvals and an audit trail. Commands run under the permissions of the person acting, stop for approval where your rules require it and leave an audit trail; stock commands also record their source, whether a person, an import, the system or AI. Journals and stock movements go through one posting gateway that checks the period, the balance and the account mapping.
What makes 1flux an AI-native platform?
1flux is built so AI works on the same structured, connected and permissioned records your team uses. Records link document to document, actions run through one permissioned command layer with an audit trail, journals post through one gateway, and workflows are configuration, not code. Today that foundation powers Import PO with AI, which turns a customer's PO or RFQ into a draft quotation.
Can we configure 1flux without a developer?
Yes. Admins configure stages, assignment, time limits, required fields, approvals and automations for deals, quotations and tasks, and time limits and automations for sales orders. They can also add custom fields, validation rules, numbering formats and task types, all without code. Every stage move, approval and override is kept in the record's history.
How does 1flux control who sees what?
1flux combines four layers of access. Custom roles are built from more than 100 permissions, record visibility follows reporting lines, members can be limited to specific legal entities, and each customer's data is isolated inside the database with PostgreSQL row-level security. Pick and dispatch screens never receive prices, and disabling a person ends their sessions immediately.
Which tools are shared across every 1flux app?
1flux shares Tasks, Calendar, Knowledge and Approvals across CRM, Inventory and Accounting, along with Settings, notifications and your profile. Tasks link to companies, deals, contacts, projects and quotations, the calendar merges meetings with tasks due, and the Approvals inbox shows everything waiting for you, whichever app it came from.
