Legal entity

Set up your UAE company properly from day one

When you create a UAE legal entity in 1flux, its profile asks for what your documents need:

  • Identity: registered legal name, Arabic legal name, display name and legal form: Limited Liability Company (LLC), Free Zone Company, Public or Private Joint Stock Company, Sole Establishment, Civil Company, Partnership or Branch
  • Address: address lines, emirate, P.O. box and an Arabic address
  • Registrations: trade licence number; licensing authority or free zone, such as DET, ADDED or your free zone authority; licence issue and expiry dates; VAT registration number (TRN); and corporate tax registration number. Both TRNs are checked for 15 digits before saving.
  • Documents: logo, signatory and default bank details with IBAN and SWIFT

A Document readiness score lists anything missing before your first quotation goes out. Issued quotations freeze the entity’s details at issue time, so later edits don’t rewrite them. Keep the trade licence and other company documents in the Knowledge library, with valid-from and valid-until dates and role-based download.

1flux seeds UAE VAT codes when you create the entity: Input VAT 5%, Output VAT 5% and Zero-rated. These are VAT-ready tax codes, applied per line with dated rates, so a future rate change can be loaded in advance and older documents keep their rate.

  • Quotations, sales orders, sales invoices and purchase orders calculate VAT per line

  5. Each code keeps its rate history. "Add effective rate" closes the previous rate on a date.
Purchasing and receiving

Built around the LPO

UAE B2B trade runs on the local purchase order (LPO), and 1flux uses it on both sides.

Selling: when a customer accepts a quotation, the salesperson attaches their LPO: the number, date and file are all required. That creates an order request, and operations turn it into a sales order without retyping.

Buying: a requisition becomes a request-for-quotation PDF, supplier quotes are compared side by side and each line is awarded with a reason. The issued order prints as a Local purchase order with your letterhead, your tax registrations and the supplier’s tax number. A quick local purchase request (LPR) converts straight into a PO, and a “PO without price” lets you order before the price is agreed.

Receiving: stores record a goods received note (GRN) with the supplier’s delivery note number and a photo or scan, which is required when the outcome is Checked & approved. A separate goods receipt report posts stock and the journal, with a reason for every shortage. UAE supplier records hold the supplier’s “VAT TRN”, trade licence number, Arabic name and credit terms.

Run your UAE companies, and your Saudi one, side by side

A mainland LLC, a free zone company and a Saudi subsidiary each keep their own currency, registrations, letterhead, numbering for orders, invoices and journals, warehouses and books. Can we store our TRN, corporate tax TRN and trade licence in 1flux?

Yes. A UAE legal entity in 1flux has fields for the VAT registration number (TRN), the corporate tax registration number, the trade licence number, the licensing authority or free zone, and the licence issue and expiry dates. Both TRNs are checked for 15 digits before saving. Your registrations print on that entity's quotations and on its local purchase order and RFQ letterheads; the tax invoice shows its VAT number.

Can we run a mainland company and a free zone company in 1flux?

Yes. Each is its own legal entity in one 1flux workspace, with its own legal form, licence, registrations, letterhead, bank details, numbering for orders, invoices and journals, warehouses and books. Can we sell to customers in other emirates and GCC countries?

Yes. Customer and supplier records hold addresses anywhere, and every UAE entity lists all seven emirates. Documents can be in any currency, including three-decimal currencies such as KWD, BHD and OMR, with realised exchange gains and losses posted automatically. Legal entities can be registered in the UAE, Saudi Arabia and India, and each one can trade anywhere.
