In short

1flux ERP implementation services take your company from discovery to its first month-end close in seven steps: discovery, entity and chart set-up, data import, configuration, training, go-live and the first close. Most of the work uses 1flux's own tools: country packs for the UAE, Saudi Arabia and India, a 25-account trading chart template, and an import workbench that validates data before anything is saved. The timeline is agreed in writing after discovery.

  1. Discovery: map your flows, companies, roles and documents, with the owner and team leads.
  2. Set-up: the workspace, legal entities, chart of accounts and ledger policies, with the finance lead.
  3. Data import: customers, contacts, items, opening stock and opening balances, with each data owner.
  4. Configuration: roles, approvals, workflows and quotation layouts, with process owners and the admin.
  5. Training: role-by-role sessions for everyone who will use 1flux.
  6. Go-live: cutover, opening postings and the first live documents, with all teams.
  7. First close: reconcile and close the first month, with finance.

How do 1flux ERP implementation services work?

Seven steps, from your first workshop to your first month-end close. Each one names who from your team takes part.

  1. Discovery: map how you trade today

    Owner, finance, sales and procurement leads

    We walk through your quote-to-cash and procure-to-pay flows, your legal entities and countries, who approves what, and the documents your customers and suppliers expect. Together we set the cutover date: the day 1flux becomes your system of record.

    Output: a written implementation plan.

  2. Set-up: workspace, entities and the chart

    Finance lead

    • Workspace and first legal entity, created in one onboarding step: country, legal name, display name, base currency, time zone and registration numbers. 1flux seeds roles, tax codes, 30 units of measure and default quotation templates.
    • More legal entities, each with its own currency, registrations, Arabic legal name and address, logo, bank details, signatory, document numbering, warehouses and costing method. See multi-entity set-up.
    • Chart of accounts: install the one-click 25-account trading template, or import your own chart of accounts by CSV, including Arabic names.
    • Posting account mapping and ledger policies: cutover date, fiscal-year start, costing method, negative-stock policy and backdating rules.
    • Apps: the 1flux team switches on the apps you’ve chosen.
  3. Data import: bring your records in, checked

    The data owner for each area

    Companies, contacts and items share one import workbench: add data, map columns, validate on the server, then commit. The Excel templates include live dropdowns, and a downloadable error file lists every row to fix.

  4. Configuration: roles, approvals and documents

    Process owners and the admin

    • Access: roles built from more than 100 permissions, the reporting hierarchy, record visibility and legal-entity access. Field-level security is available, configured with our team.
    • Workflows on deals, quotations, sales orders and tasks: assignment, time allowed in each stage, required fields and approvals, including quotation approvals by amount band.
    • Documents: quotation layouts in Document Studio, including Arabic/English layouts and the formal cover letter with three signatories.
    • Commercial rules: credit days and their basis, a maximum credit-days cap, price channels, tax codes per item, and receiving settings such as blind receiving.
  5. Training: role by role

    Everyone who'll use 1flux

    Each team learns its own lane: salespeople, sales managers, buyers, storekeepers, approvers, accountants and admins. Every work area in 1flux opens on a “Needs action” list, which gives each person a clear starting point on day one.

  6. Go-live: cutover and the first live documents

    All teams

    On the cutover date, finance opens the first accounting period, then posts the opening trial balance and opening stock. Admins invite the team by email; invitations expire after 7 days. Nothing can be posted before the cutover date, so the old system and 1flux don’t overlap.

    From go-live, finance pays suppliers in 1flux and allocates each payment to purchase invoices; payments post to the ledger.

  7. Your first month-end close

    Finance

    We close your first month in 1flux together, using the Accounting overview:

    • “Needs action” lists posting blockers, unbalanced drafts, overdue receivables, goods received not invoiced over 30 days, provisional costs and stock-versus-ledger differences.
    • Books health checks the trial balance, stock against the ledger and more.
    • Bank reconciliation: reconcile your bank accounts against the ledger.
    • VAT returns: prepare VAT returns for the UAE and Saudi Arabia from the input and output VAT already posted.
    • Financial statements: review the profit and loss and balance sheet for each legal entity, straight from the ledger.
    • A six-step close checklist ticks itself as each step is done, then you close the period. Closed periods refuse every posting.

    Groups then run their first consolidation into a group currency. A final run needs every entity’s month closed. See 1flux Accounting.

How long does a 1flux implementation take?

1flux agrees the timeline with you in writing after discovery. It depends mostly on three things: how many legal entities you run, how clean your customer, item and stock data is, and how many apps you start with. Country packs, the trading chart template and validated imports remove much of the set-up work.

Can you migrate our data from Excel, Tally or QuickBooks?

Yes, through file exports. Export your customers, contacts and items to CSV or Excel, and 1flux's import workbench maps the columns, validates every row on the server and returns an error file for anything to fix. Opening stock and the opening trial balance come in the same way, and receivables and payables arrive as balances in the opening trial balance, so the books open exactly where the old system closed.

Can we keep our chart of accounts?

Yes. You can import your existing chart of accounts by CSV, including Arabic account names, or start from 1flux's 25-account trading chart template. Either way, posting account mapping links each posting purpose, such as sales revenue or goods received not invoiced, to one of your accounts. A missing mapping blocks posting with a clear message.

Can we go live in the middle of our financial year?

Yes. You set a cutover date and a fiscal-year start in the ledger policies. On the cutover date, 1flux posts your opening trial balance and opening stock, and nothing dated earlier can be posted afterwards. Your history stays in your previous system, and 1flux carries the balances forward from the cutover date.

Can we run 1flux alongside our current accounting package?

Yes, but you may not need to. In 1flux, every goods receipt, delivery, invoice and payment posts to the ledger. You pay suppliers and allocate each payment to purchase invoices, reconcile your bank accounts against the ledger, get a profit and loss and balance sheet for each legal entity, and prepare UAE and Saudi VAT returns from the VAT already posted. From the cutover date, 1flux can be the system of record for your books.

How is the team trained on 1flux?

1flux training runs role by role, so each team learns its own lane: salespeople, sales managers, buyers, storekeepers, approvers, accountants and admins. Every work area opens on a "Needs action" list, which gives each person a clear starting point on day one, and people only see the screens and rows their role allows. Training is step 5 of 7, just before go-live, so it's fresh when the first live documents are posted.
