1flux CRM

One customer record, from first visit to final statement

1flux CRM is B2B CRM software for trading and project-supply teams: companies, deals, projects, daily visit reports and collections, connected to the quotations, orders and invoices that follow.

In short

1flux CRM is the sales front end of the 1flux ERP, not a stand-alone contact manager. A company's salesperson, credit days and address are entered once and carry into the quotations and sales orders that follow, and the credit days set each invoice's due date. Salespeople log deals, projects, daily visits and collection forecasts in the same place. Each person sees their own work and managers see their team's. Every report scopes itself to match.

The CRM overview opens on what needs action, then won revenue, new deals and the open pipeline.
Sound familiar?

Where does a B2B sales team lose track?

Many B2B sales teams run on a customer list in Excel and a group chat where visits are reported late in the evening. If there is a CRM, it stops at the deal.

  • “Who owns this account? The system shows an ID, not a salesman.”

  • “Two of our reps cover this customer, one mechanical and one electrical. Who sees what?”

  • “The credit terms say '60 days' in a notes field. Nobody can work out a due date from that.”

  • “I can't see what my field team did today, or which follow-ups they promised.”

  • “How much cash will the team collect this month? Nobody knows until the month is over.”

The quotation, the order and the invoice live somewhere else, so the same questions come up every week. 1flux CRM answers them from one record that the rest of the ERP shares.

One record

Why should B2B CRM software share one record with your ERP?

Because the customer details that matter in sales also decide the quotation, the order and the due date. In 1flux, the company record your salespeople build in the CRM is the same record that quotations, sales orders, invoices and the customer statement read from. Nobody types it twice, so nothing drifts.

  • Salesperson and sales team: one primary salesperson plus a sales team on every company, up to 20 salespeople in all. Tagging someone on the team gives them access to the company and its deals and quotations.
  • Credit days with a basis: 0–365 days, counted from the invoice date, the delivery date or the statement (month-end) date. They flow into the quotation’s payment terms, the sales order and the invoice due date.
  • Maximum credit days: set a cap per customer. 1flux refuses a sales order that exceeds it unless the person holds the override permission.
  • Credit limit: stored and shown on the company record and the customer statement.
  • Saudi National Address: structured and validated, with Arabic twin fields. It prints on quotations as the buyer’s address.
  1. Company: the salesperson, credit days (60, counted from the delivery date), address and credit limit are entered once.
  2. Quotation: the credit days print as payment terms, and the address prints as the buyer address.
  3. Sales order: credit days carry over, and the customer’s maximum credit days are checked.
  4. Delivery note: goods go to the company’s delivery address.
  5. Sales invoice: the due date is counted from the delivery date, the customer’s credit basis.
  6. Customer statement: the balance, overdue amounts and the credit limit, shown for reference.
Credit days, salesperson and address are entered once and carried into every document that follows.
Visibility

Who sees which customers and deals?

Each person sees what their place in the org chart allows. In 1flux CRM you choose whether everyone sees everything, or each person sees their own records and their team’s. New workspaces start in the second mode, called Restricted.

  • Solid reporting lines form the management tree. A manager sees the records of everyone below them.
  • Dotted lines add a second manager with View only or Full (edit and reassign) access.
  • View all records and Manage all records permissions open the whole workspace to named roles, such as sales operations.
  • Lookup-only roles let a salesperson link a deal, project or quotation to their assigned companies without browsing the full customer list. You can hide the Companies tab per role.
  • Offboarding in one step: “Reassign and deactivate” moves a leaver’s companies, deals, tasks and direct reports to someone else.

Restricted visibility: people see their own records; managers see everyone below them.
Companies and contacts

Keep every account, contact and address in order

1flux CRM gives each customer one company record. The companies register is a paged table with click-to-edit cells, personal saved views, a column chooser and a salesperson filter for Mine, My team or a named person.

  • Company tabs: Overview, Activity, Notes, Contacts, Deals, Projects, Addresses, Hierarchy and Access.
  • KPI tiles: Open deals, Pipeline value, Last activity and Credit limit.
  • Contacts keep a company history, so when a buyer moves to another firm, their old employer and role stay on record.
  • Import from CSV, Excel or a paste: up to 5,000 rows and 10 MB per file, validated on the server before anything saves.
  • Bulk edit up to 5,000 companies in a spreadsheet, with a review of every change before it applies.

Deal pipeline

Run the pipeline month by month, with rules on every move

The 1flux deals board opens on the current month, so the pipeline review starts from what's live now. Every move runs the stage rules you set, and a move that misses one is stopped with a list of what's missing.

Live view

A deal can't enter Proposal until its requirements are met. The board checks every move.
View as text
  1. Imran Raza drags the deal "Chilled water pumps" from Qualified towards Proposal.
  2. The board rolls the card back and opens "This stage change needs attention". The Proposal stage has two requirements to complete: a deal value and the checklist item "Site survey done".
  3. Imran adds the deal value, AED 186,000, and marks the checklist item done.
  4. The deal moves to Proposal, and the column counts and totals update. Every move on the board runs the same stage rules.

Drag deals between stages with a mouse, by touch or from the keyboard. Each column shows its deal count and total value. Rules are set per stage under Settings → Workflows, without code:

  • Assignment when a deal enters a stage, including round robin.
  • Service level badges (“3h left”, overdue) that show which deals are running late.
  • Entry criteria: required fields and checklist items, listed when a move is blocked.
  • Approvals from any, all or a quorum of chosen approvers.
  • Transition rules: forward-only stages, blocked moves and required reasons. Marking a deal lost always needs a reason.
  • Automations that notify, create a linked task or update a field.

Won and lost deals each have their own page with full history, and the lost reason stays on the record. See the full deal pipeline

Projects

Sell into projects, not just companies

Contracting and MEP suppliers sell into sites, buildings and tenders. 1flux CRM treats the project as its own sales object, with a company, a salesperson, scope-of-work tags such as Mechanical or Electrical, and a country and city chosen from 6,868 preset cities or your own.

  • A project can link to several deals, and a deal to several projects.
  • Filters live in the URL, so a manager can bookmark and share a view.
  • You can raise a submittal request on a project and route it to submittal coordinators, with SUB-numbering, stages and time limits.

Daily sales reports

See what the field team did today

The daily sales report gives each salesperson one structured report per day: visits with the company, project, people met, purpose, outcome and next action, or the reason there were no visits.

  • Posting locks the report, so a manager reads what was filed on the day.
  • Follow-ups land on the calendar: any visit with a next action and a follow-up date becomes a task automatically.
  • Team & patterns shows managers who posted, who didn’t and what the team is discussing.

Collections forecast

Make cash collection part of the sales job

Salespeople forecast the cash they expect to collect from each customer this month and next, then record what actually came in. 1flux tracks the variance, a Hit % and a six-month “Forecast against collected” chart. Managers see their whole team.

Every number is the salesperson’s own commitment, measured against what they actually collect, so salespeople own their cash collection as well as their sales.

Quote to order

How does a deal become a quotation and a sales order?

A deal hands off to a quotation, and an accepted quotation hands off to a sales order, without re-keying.

  1. Deal (Chilled water pumps).
  2. Quotation request: Quoted.
  3. Quotation (QT-2026-00118): Accepted.
  4. Customer PO (PO 7741).
  5. Order request: Converted.
  6. Sales order (SO-2026-0042).
The deal, the quotation and the customer PO each hand off to the next. Nothing is typed twice.

From the deal’s Quotations tab, a salesperson either clicks New quotation or uses Request quotation to ask a colleague to prepare one. Requests move through Requested → Approved → Assigned → In preparation → Quoted, with an optional manager approval step.

  • Import PO with AI reads the customer’s PO or RFQ into a draft quotation, with item codes matched to your catalogue.
  • Quotations carry the customer’s credit days and must be approved before sending. They go out by email or a secure link the customer can accept online.
  • Attaching the customer’s purchase order to an accepted quotation sends it to operations as an order request.
  • Operations create the sales order with lines, discounts, VAT, shipping and credit days carried over, and the maximum credit-days cap checked.
  • The CRM overview includes a My sales orders chart, so salespeople can follow their orders without leaving the CRM.
CRM reports

Reports that scope themselves to the reader

The same report shows a salesperson their own numbers and a manager their team’s, with no setup. The CRM overview opens on a Needs action list, such as “N quotations expire within 7 days”, then tiles for Revenue booked, Active customers, New deals and Conversion rate.

CRM reports add the average sales cycle, stage movements, stale deals, quotation win rate, pipeline by stage and a sales productivity table per person.

How it works

How does a sales team work in 1flux CRM?

From the first import to the month's collections, in seven steps.

  1. Bring in your customers

Import companies and contacts from Excel or CSV, validated before anything saves.

  2. Set up each account

Tag the sales team and set credit days with their basis. Add the Saudi National Address where it applies.

  3. Log the day

Salespeople post their daily sales report. Follow-ups land on their calendar as tasks.

  4. Work the pipeline

Open a deal, link it to a project and move it across the board. Workflow rules check every move.

  5. Quote from the deal

Build the quotation or request one from the team. It's approved, then sent by email or a secure link.

  6. Hand off the order

When the customer accepts, attach their PO. Operations create the sales order with the terms carried over.

  7. Follow the cash

Salespeople forecast collections for the month and record actuals. Managers review Hit % and the CRM reports.

What is 1flux CRM?

1flux CRM is the sales app of 1flux, a connected ERP for B2B trading, distribution and project-supply companies. It covers companies and contacts, deals, projects, daily sales reports, collections forecasts and CRM reports. It shares one customer record with quotations, sales orders, invoices and accounting, so credit days, salesperson and address flow into the documents that follow.

Can 1flux CRM create quotations and sales orders?

Yes. From a deal, a salesperson can start a new quotation or request one from a colleague. Approved quotations go out by email or a secure link the customer can accept online. Attaching the customer's PO to an accepted quotation sends it to operations as an order request, which becomes a sales order with the lines, discounts, VAT, shipping and credit days carried over.

Can sales managers see only their own team's deals and customers?

Yes. In Restricted mode, which new 1flux workspaces start in, each person sees their own records and those of the people who report to them. Solid reporting lines decide whose records a manager sees, and dotted lines add view-only or full access. Named roles can be given "View all records". CRM reports and dashboards scope themselves to the same lines automatically.

Is 1flux CRM built for field sales teams?

Yes. 1flux CRM includes a structured daily sales report for visits, and credit days counted from the invoice, delivery or statement date. Saudi accounts get a validated Saudi National Address with Arabic twin fields, and Arabic company and contact names display correctly. 1flux works in any phone or tablet browser, with nothing to install.

Can we import our customer list into 1flux CRM?

Yes. 1flux CRM imports companies and contacts from CSV, Excel or a pasted table, up to 5,000 rows and 10 MB per file. You map your columns, 1flux validates every row on the server, and only then do you commit. The Excel template has live dropdowns, company duplicates are matched by website domain, and failed rows download as an error file to fix and retry.

How do credit days work in 1flux CRM?

1flux CRM stores credit days from 0 to 365 on each company, with a basis that says when the clock starts: the invoice date, the delivery date or the statement (month-end) date. Credit days flow into the quotation's payment terms, the sales order and the invoice due date. A maximum credit-days cap per customer is enforced on sales orders, and only people with the override permission can exceed it.
