## What does an ERP for service companies do between the quotation and the cash?

Say a property manager asks for a deep clean across three office floors. You quote it from your service catalogue, attach the customer’s PO, create the sales order and give the crew a job task. ## Price services from one catalogue

Services in 1flux are catalogue items like any other, with their own form: a billing unit such as an hour or a visit, service packs, tax codes and dated prices. Quotations take each service at the price in force on the quote date, and the server recalculates every line.

## Every job as a task, with its own stages and service level

In 1flux you create a task type for jobs, with its own stages, ID prefix (such as JOB-000214), colour, priority and workflow. Each stage can carry a [service level](https://1flux.ai/glossary/service-level-agreement) in hours, so jobs show “3h left” and “overdue” badges before a customer has to chase.

- Entry criteria block a move until required fields and checklist items are done, and list what’s missing
- Approvals on a stage, from any, all or a quorum of approvers
- One assignee plus followers, comments with photos or files, and time in each stage
- Due-soon and overdue reminders in the app and by email to the assignee
- Link each job to the company, contacts, deal, project or quotation it belongs to

## Group a customer's jobs under one project

A project in 1flux CRM groups a bigger customer’s many jobs in one place: the customer, the salesperson, scope tags such as Cleaning or Security, start and target dates, and a status from Proposed through In progress to Completed.

Job tasks and notes link to the project, and the deals behind it sit alongside, so anyone with access can open the project and see the work and the conversation in one place. Filters stay in the URL, so a view of every open project for one salesperson can be shared as a link.

Invoicing and collections

## Invoice the work, then forecast the cash

1flux invoices service lines up to the quantity ordered, with no delivery note, and you can split an order across several invoices. Each invoice carries VAT per line at the rate in force on the invoice date, and its due date follows the customer’s credit days.

Salespeople then own the cash as well as the sale. In the [collections forecast](https://1flux.ai/products/crm/collections-forecast), each one forecasts what every customer will pay this month and next, records what actually came in and sees a Hit %. Managers see the whole team.

### Can 1flux invoice services without a delivery note?

Yes. In 1flux, service lines on a sales order are invoiced up to the quantity ordered, with no delivery note in between. You can split an order across several invoices as the work is done. Each invoice carries VAT per line at the rate in force on the invoice date, takes its due date from the customer's credit days, and posts the receivable, revenue and output VAT as it's raised.

### Can we track jobs as tasks with their own stages?

Yes. In 1flux you create a task type for jobs, with its own stages, ID prefix such as JOB-000214, colour, priority and workflow. Each stage can carry a service level in hours, so jobs show "3h left" and "overdue" badges. A job has one assignee plus followers, comments with photos or files, and due-soon and overdue reminders in the app and by email.

### Can a job need a checklist before it's marked done?

Yes. Entry criteria on a 1flux workflow stage can require fields and checklist items, and the move is blocked with a list of what's missing until they're complete. Transition rules can require a reason, make stages forward-only or block specific moves, and a stage can need approval from any, all or a quorum of approvers. Every move, approval and override is kept in the task's history.

### Can customers accept a service quotation online?

Yes. 1flux sends each approved quotation as a locked PDF by email, to up to 25 To and 25 CC addresses, or shares a secure link on WhatsApp from your own number. The link can have a password and an expiry of 1 to 365 days. The customer accepts or declines online by typing their name, with an optional note, and you're notified when they view it.

### Can our sales team forecast cash collections?

Yes. In the 1flux collections forecast, each salesperson forecasts the cash to collect from each customer, and optionally each project, for this month and next. They then record what was actually collected, and 1flux shows the variance, a Hit % and a six-month chart of forecast against collected. Managers see their whole team's forecasts, while each salesperson edits only their own.

### Can 1flux group several jobs for one customer under a project?

Yes. A project in 1flux CRM records the customer, the salesperson, scope tags such as Cleaning or Security, start and target dates and a status: Proposed, In progress, On hold, Completed or Cancelled. Job tasks and notes link to the project, and the deals behind it sit alongside, so anyone with access can open the project and see the work and the conversation together.

### Does 1flux show which customers are overdue?

Yes. 1flux ages receivables in buckets from Current to over 90 days and checks open invoices against the receivables control account. The Sales overview lists overdue receivables under Needs action, and each customer has a statement with a running balance. One payment can settle several invoices, oldest first, by bank transfer, cash, card or cheque, posted to the bank or cash account you choose.
