ERP for Saudi Arabia

# ERP software for Saudi trading, distribution and project-supply companies

The ERP software Saudi Arabia-based traders need to run from the customer's PO to paid in one flow, with ZATCA e-invoicing, 15% VAT, CR and national address fields, and quotations that print Arabic correctly.

## In short

1flux is ERP software for Saudi companies that trade, distribute or supply projects. A Saudi legal entity comes set up with SAR, the Riyadh time zone, 15% VAT codes, Saudi legal forms and the 13 regions, plus fields for your CR, unified national number, VAT number and zakat certificate number. Customer and supplier addresses follow the Saudi National Address with validation, and quotation PDFs print Arabic names and text correctly. ZATCA e-invoicing is built in, and 1flux prepares your VAT returns from the VAT already posted.

## What does trading in Saudi Arabia ask of your systems?

Saudi B2B trade has its own paperwork. Your customer records need a proper national address, not a building number squeezed into “address line 1”. Your quotations need the CR and VAT number on the letterhead, a formal cover letter and the customer's name printed in Arabic without broken letters.

- “The national address was crammed into address line 1.”

- “Credit days were free text, so due dates were guesswork.”

- “More than one salesman works this customer.”

- “Stores and accounts never agree on what actually arrived.”

Credit terms run from the invoice date, the delivery date or the end of the statement month, and they have to land on the right due date. Behind that sit field salesmen covering Riyadh, Jeddah and Dammam, buyers working on LPOs and stores teams checking deliveries in by hand.

Legal entity

## Set up your Saudi company with the right numbers

When you create a Saudi [legal entity](https://1flux.ai/glossary/legal-entity) in 1flux, the profile asks for what Saudi documents need:

- **Identity:** registered legal name, Arabic legal name and legal form: Limited Liability Company (LLC), Joint Stock Company, Simplified Joint Stock Company, Sole Proprietorship, General Partnership, Limited Partnership or Foreign Company Branch
- **Registrations:** [commercial registration (CR)](https://1flux.ai/glossary/commercial-registration) number, checked for 10 digits; unified national number; VAT registration number, checked for 15 digits starting and ending with 3; group VAT registration number; and zakat certificate number
- **National address:** building number, street, district, additional number and the national short address, with Arabic address lines
- **Documents:** logo, signatory and default bank details with IBAN and SWIFT

A **Document readiness** score flags what’s missing, such as the CR or the building number, before your first quotation goes out. On quotations, your issuer block reads “Commercial Registration (CR)” and “VAT registration number”, and lays out your national address in Saudi order.

A Saudi entity's registrations, checked for format, and the issuer block its quotations print.

2. Commercial registration (CR): 1010000001.
3. Unified national number: 7000000001.
4. VAT registration number: 300000000000003.
5. Zakat certificate number: 000001.
6. Document readiness: 100%. The quotation issuer preview prints: Commercial Registration (CR) 1010000001; VAT registration number 300000000000003; 1234 King Fahd Road, Al Olaya, Riyadh, Additional no. 5678, Saudi Arabia.

National address

## The Saudi National Address, structured and validated

1flux stores customer addresses as a structured [Saudi National Address](https://1flux.ai/glossary/saudi-national-address): short address, building number, street, secondary number, district, unit, postal code and city. Arabic twin fields hold the street, district, city and address line in Arabic.

| Field | Rule 1flux checks |
| ---------------- | --------------------------------------- |
| Building number | Exactly 4 digits |
| Secondary number | Exactly 4 digits |
| Postal code | 5 digits |
| Short address | 4 letters and 4 digits, like `REMA6598` |

1flux checks each format before the address is saved.

The **Paste national address** helper fills the fields from a single pasted line. Set Saudi Arabia as your default country and the national address fields appear straight away. Company imports carry national address columns and validate them, and quotations print both the buyer’s and your own national address. Supplier records support the national address too.

VAT

## VAT at 15%, applied line by line

1flux seeds Saudi [VAT](https://1flux.ai/glossary/vat) codes when you create the entity: **Input VAT 15%**, **Output VAT 15%** and **Zero-rated**. These are VAT-ready tax codes, applied per line with dated rates, so earlier documents keep the rate they were issued at.

- Each item carries its own inward and outward tax code
- Quotations, sales orders, invoices and purchase orders calculate VAT per line
- Sales invoices post output VAT and purchase invoices post input VAT, each to its own account
- The Accounting overview compares output and input VAT for the current quarter

1flux prepares your Saudi VAT return from the input and output VAT already posted.

Saudi VAT codes arrive with the entity. Rates are dated, so old documents keep their rate.

2. VAT15-OUT: Output VAT 15%, outward, 15%, the default for its direction.
3. VAT15-IN: Input VAT 15%, inward, 15%, the default for its direction.
4. ZERO: Zero-rated, outward, 0%.
5. Each code keeps its rate history. "Add effective rate" closes the previous rate on a date.

Arabic-ready

## Arabic where it matters: your data and your quotations

1flux handles Arabic data throughout. Company, contact, supplier and item names display correctly inside the app, with an Arabic font. Items can carry Arabic names and descriptions with right-to-left input, and item search understands Arabic spelling variants and Eastern Arabic digits.

Quotation PDFs shape and order Arabic text correctly with an embedded Arabic font, so customer names, titles and terms print as they should and stay selectable. You can design Arabic/English quotation layouts in the document designer. CSV exports open in Excel with Arabic intact.

Purchasing and receiving

## Buy and receive with LPOs and GRNs

Saudi supplier records hold the supplier’s VAT registration number, commercial registration, Arabic name, national address and credit terms. Buyers compare supplier quotes side by side and award each line with a reason. Issued orders print as a [local purchase order (LPO)](https://1flux.ai/glossary/local-purchase-order) with your letterhead and registrations.

Stores record a [goods received note (GRN)](https://1flux.ai/glossary/goods-received-note) with the delivery note number and a photo, which is required when the outcome is **Checked & approved**. A separate goods receipt report posts stock and the journal, with a reason for every shortage.

Several companies

## Run your Saudi and UAE companies side by side

A Saudi company and a UAE company sit in one 1flux workspace, each with its own currency, registrations, letterhead, numbering for orders, invoices and journals, warehouses and books. The entity switcher shows where you are, for example “SA · SAR”, and people can be limited to the companies they work for when you invite them.

A consolidation run combines the group’s ledgers into a consolidated trial balance in one currency. Read more about [multi-company setup](https://1flux.ai/platform/multi-entity) and [ERP for the UAE](https://1flux.ai/solutions/uae).

Switch legal entity from the top bar. Currency, figures and the books follow; nothing mixes.

E-invoicing

## ZATCA e-invoicing, built in

ZATCA's e-invoicing rules apply to VAT-registered businesses in Saudi Arabia. Phase 1 (generation) has applied to all of them since 4 December 2021, so a Saudi company needs a compliant e-invoicing solution today, not only when its Phase 2 wave arrives.

ZATCA e-invoicing in 1flux

1flux issues ZATCA-compliant e-invoices for Saudi Arabia, covering Phase 1 (generation) and Phase 2 (integration with ZATCA’s Fatoora platform). See [e-invoicing in 1flux](https://1flux.ai/products/e-invoicing).

Phase 2 integration now reaches taxpayers whose VAT-subject revenue exceeded SAR 187,500 in any year from 2022 to 2025, with a Fatoora integration deadline of 1 February 2027.

FAQ

## Questions, answered

Still deciding? [Talk to sales](https://1flux.ai/contact)

### Does 1flux generate ZATCA e-invoices?

Yes. 1flux issues ZATCA-compliant e-invoices for Saudi Arabia, covering Phase 1 (generation) and Phase 2 (integration with ZATCA's Fatoora platform). VAT-registered businesses in Saudi Arabia have needed compliant e-invoicing since 4 December 2021, and Phase 2 waves now reach smaller taxpayers. See [e-invoicing in 1flux](https://1flux.ai/products/e-invoicing) for how it fits the sales flow.

### Is 1flux set up for Saudi VAT at 15%?

Yes. When you create a Saudi legal entity, 1flux seeds VAT-ready tax codes: Input VAT 15%, Output VAT 15% and Zero-rated. They apply per line on quotations, orders and invoices, with dated rates, and output and input VAT post to their own accounts. 1flux prepares your VAT return from the VAT already posted, and the Accounting overview compares output and input VAT for the quarter.

### Does 1flux handle the Saudi National Address?

Yes. Customer, supplier and entity addresses use the structured Saudi National Address: building number, street, secondary number, district, postal code, city and short address, with Arabic twin fields. 1flux checks the 4-digit building and secondary numbers, the 5-digit postal code and the short address format. A "Paste national address" helper fills the fields from one pasted line.

### Can 1flux store our CR, unified number and zakat certificate?

Yes. A Saudi legal entity in 1flux has fields for the commercial registration number, the unified national number, the VAT registration number, a group VAT registration number and the zakat certificate number. The CR and VAT number are checked for format before saving, and your registrations print on that entity's quotations, with your national address laid out in Saudi order.

### Does 1flux handle Arabic names and documents?

Yes. 1flux handles Arabic data throughout, including names, addresses and item descriptions, with right-to-left input for Arabic item names, and item search understands Arabic spelling variants and Eastern Arabic digits. Quotation PDFs shape Arabic text correctly with an embedded Arabic font, and you can design Arabic/English quotation layouts. CSV exports open in Excel with Arabic intact.

### Can we run a Saudi company and a UAE company in 1flux?

Yes. Each is its own legal entity in one workspace, with its own currency, registrations, letterhead, numbering for orders, invoices and journals, warehouses and books. The entity switcher moves between them, and people can be limited to the companies they work for when they're invited. A consolidation run combines both ledgers into a consolidated trial balance in one group currency.

### Can we invoice customers elsewhere in the GCC in their own currency?

Yes. 1flux documents can carry any currency, and three-decimal currencies such as KWD, BHD and OMR round correctly to three decimal places. Foreign-currency invoices store both the transaction amount and your base-currency amount, and realised exchange gains or losses post automatically when the customer pays. Customer records keep their own address, currency and credit terms.

### Can customers in Saudi Arabia accept quotations online?

Yes. Once a quotation is sent, the customer opens its secure link, which can carry a password and an expiry, and accepts or declines by typing their name, with an optional note. You can also share the link on WhatsApp from your own number. The customer's Arabic name prints correctly on the PDF they see.
