## Why is a group of companies so hard to run?

Family groups rarely stay as one company. There's the original trading company, a subsidiary in another country, perhaps a separate company for imports and a holding company above them all. Each was set up for a good reason. Together, they're hard to run.

- “Every company in the group has its own spreadsheet, and consolidating takes a week.”

- “Quotations went out on the wrong letterhead.”

- “A storekeeper could see another company's stock.”

Usually one of two things happens. Each company gets its own system, and the owner calls each general manager to find out how things are going. Or everything goes into one system that doesn’t really separate them: quotations go out on the wrong letterhead, a storekeeper can see another company’s stock and tax numbers get mixed up.

Then month-end arrives. Each company sends a trial balance. Someone converts the subsidiary’s figures into the group currency in Excel, and the group view is ready a week later, already out of date.

Legal entities

## An ERP for holding companies: one workspace, every company

1flux runs every company in your group inside one workspace. Each [legal entity](https://1flux.ai/glossary/legal-entity), meaning a company registered in its own right, has a full profile of its own:

- **Identity:** registered legal name, display name, Arabic legal name, legal form and branch name
- **Country pack:** UAE, Saudi Arabia or India, with that country’s VAT or GST codes, legal forms, regions and registration fields
- **Defaults:** base currency and time zone, applied to every new document the entity issues
- **Registrations:** UAE VAT [tax registration number (TRN)](https://1flux.ai/glossary/tax-registration-number), corporate tax TRN and trade licence; Saudi [commercial registration (CR)](https://1flux.ai/glossary/commercial-registration), VAT number and unified number; India GSTIN and PAN
- **Addresses:** the address in English and Arabic, and the [Saudi National Address](https://1flux.ai/glossary/saudi-national-address) for Saudi entities
- **Branding and payment details:** logo, default signatory and default bank details, including IBAN and SWIFT
- **Operations:** its own numbering for sales orders, invoices, purchasing and accounting documents, its own warehouses and its own inventory costing method
- **Books:** its own chart of entity accounts, accounting periods, journals and cutover date

Entity switcher

## Switch company in one keystroke

The top bar always shows which company you’re working in, with a chip such as **AE · AED**. Open the switcher, or press ⌘⇧E, to move to another entity. Documents and postings go to the entity you’ve selected, and every accounting page states whose books it shows.

If you have unsaved changes, 1flux asks before switching, so nothing lands in the wrong company. On a phone, the entity chip stays visible and opens as a bottom sheet.

Entity access

## Each person sees only their companies

When you invite someone to 1flux, you choose their entity access: all current and future legal entities, or a specific list. Their reads and postings in sales, purchasing, inventory, quotations and accounting stay within those companies.

- A storekeeper in the Riyadh warehouse works only in the Saudi entity
- An accountant in Dubai prepares journals only for the UAE companies
- The group finance director has access to all of them, which a consolidation run needs

Entity access combines with roles and reporting lines, so each person’s view follows both the company and the job.

Entity access is set when you invite someone. Their reads and postings stay inside those companies.

Documents and books

## Registrations, letterhead and books stay with the right company

Each company in 1flux trades under its own name, and its documents show it.

- **Quotations** are issued by the entity you choose, with its letterhead, registrations and bank details. When a quotation is issued, 1flux freezes the entity’s details on it, so later edits to the profile don’t rewrite old quotations. See [quotations](https://1flux.ai/products/quotations).
- **Purchase orders** print as “Local purchase order” with the entity’s letterhead and tax details.
- **Sales invoices** print as a “Tax invoice” showing the selling entity’s VAT number.
- **E-invoicing** for your Saudi and UAE companies: ZATCA and UAE e-invoicing built in. See [e-invoicing](https://1flux.ai/products/e-invoicing).
- **Numbering** runs per entity and year for operational documents, so each company’s sales orders, invoices, customer payments, goods receipts and journals keep their own sequence.
- **Company documents** such as trade licences and policies sit in each entity’s library, with valid-from and valid-until dates and download rights by role.
- **Books** stay separate: each entity has its own [functional currency](https://1flux.ai/glossary/functional-currency), periods and close, and its own profit and loss and balance sheet, straight from its ledger.

A quotation issued by the Saudi company carries its CR, VAT number and national address.

Consolidation

## See the group in one currency

Each entity’s accounts keep their local codes and names but roll up to the same group accounts, so [financial consolidation](https://1flux.ai/glossary/financial-consolidation) combines every operating entity’s ledger into one group currency:

- Income and expenses translate at the month’s average rate, balances at the closing rate.
- The translation difference for each entity is shown, not buried.
- Draft runs are for review. A final run is refused until every entity has closed the month.
- The output is a consolidated trial balance by account, with each entity’s currency and the group currency side by side, exportable to CSV.

Group structure

## Map the group structure

Under **Group structure**, record each subsidiary with its parent, the ownership percentage and the date it takes effect. Each subsidiary has one parent at a time, and circular structures are refused.

Your holding company can be set up as a **Consolidation group only** entity. It can’t post trade, so nobody books a sale into it by mistake, and the group reports in its currency when you consolidate from it.

### Can we run our UAE and Saudi companies in one system?

Yes. In 1flux, one workspace holds every legal entity in your group. A UAE company and a Saudi company each keep their own currency, VAT and commercial registrations, letterhead, numbering, warehouses and books. People switch between them from the top bar, and a consolidation run combines both into one group currency, translating the Saudi figures at average and closing rates.

### Can we limit staff to one company?

Yes. When you invite someone, you choose whether they can access all current and future legal entities or only the ones you list. Their work in sales, purchasing, inventory, quotations and accounting stays within those companies. Combined with roles, this lets a storekeeper or accountant work in one company while group finance sees them all.

### What does a 1flux consolidation run produce?

1flux consolidation combines every operating company's ledger into a consolidated trial balance by account, with each company's figures in its own currency and in the group currency, plus the translation difference. Income and expenses translate at the month's average rate and balances at the closing rate. The run exports to CSV, and each company also gets its own profit and loss and balance sheet straight from its ledger.

### Can one 1flux workspace hold every company in the group?

### Can each company in a group use its own costing method?

Yes. 1flux sets inventory costing per legal entity: weighted average, FIFO or standard cost with purchase price variance. Each company's warehouses, stock valuation and accounting periods belong to that company, so one subsidiary can run FIFO while another uses weighted average. Every stock posting writes the quantity, the cost layers and a balanced journal to that company's books in one step.
