Auto parts and equipment

# ERP for auto parts distributors running branches and vans

For distributors of spare parts, lubricants, batteries and workshop equipment. See what every branch and van holds, move parts to where they sell and promise only what's free.

## In short

1flux is an ERP for auto parts distributors that sell from several branches and vans. Each branch, store or van is a warehouse with its own on hand, reserved, available and awaiting-receipt stock. Transfers move parts between locations with live availability, activated sales orders reserve what's been promised, and item search finds a part by code, barcode or name, including Arabic spelling variants and Eastern Arabic digits.

The Warehouse overview starts with picks short of stock and orders waiting too long, so fast movers leave on time.

View as text

1. The storekeeper opens the Warehouse overview.
2. First, 2 picks are short of stock and 2 orders have waited over 24 hours to be picked.
3. Then 4 dispatches are due today.
4. Then 3 orders are partially delivered.
5. Each row opens exactly the orders behind it. Tiles show To pick, Picking, Ready to dispatch and Dispatched today.

The one flow

## How does an ERP for auto parts distributors keep fast movers moving?

1flux follows every part from the goods receipt to the customer’s payment, with transfers in between that move stock to the branch or van that sells it. Each document starts from the one before it, so nobody re-keys an order between the counter, the store and accounts.

Say a workshop calls the Sharjah branch for four brake pad sets and a battery. The parts landed at the main warehouse last week, and a transfer topped the branch up yesterday. The sales order reserves them, and the delivery note, invoice and payment follow. The transfer moves stock at cost inside one company, while the receipt, delivery note, invoice and payment each post their own journal.

1. Goods receipt report (GRR-2026-0118) . Posts Dr Inventory , Cr GRNI.
2. Transfer (TRF-2026-0047) . Nothing posts.
3. Sales order (SO-2026-0391) . Nothing posts.
4. Delivery note . Posts Dr COGS , Cr Inventory.
5. Sales invoice . Posts Dr AR , Cr Revenue, VAT.
6. Customer payment . Posts Dr Bank , Cr AR.

Branches and vans

## Every branch, store and van is a stock location

1flux treats every branch, store and van as a warehouse that belongs to one of your legal entities. Each holds its own on hand, reserved, available and awaiting-receipt quantities, so the counter at one branch can see what the branch across town has before turning a workshop away.

- Set a location up as a warehouse, a store or a van; van stock is tracked like any other location
- Each legal entity keeps its own warehouses, currency, costing method and valuation
- Weighted average, FIFO or standard cost, chosen per legal entity

One part across every location: on hand, reserved, incoming and what's still free to sell.

Transfers

## Move parts to the branch or van that sells them

A [stock transfer](https://1flux.ai/glossary/stock-transfer) in 1flux moves parts between two warehouses of the same company. It runs Draft, then Posted, and Reversed if you need to undo it. Each line shows what’s available as you type, with an “Only 6 available” hint when stock runs thin.

Stock and its cost move together, so branch valuations stay right. Reserved stock can’t be transferred, which keeps a part promised to one customer where the order expects it.

Each line shows what's available as you type. Reserved stock can't be moved.

Reservations

## Promise only the parts that are free to sell

When a sales order is activated, 1flux reserves its stock in the order’s warehouse and puts it on the warehouse board. Available is on hand less reserved, so the next salesperson sees what is genuinely free. The Inventory overview shows [available to promise](https://1flux.ai/glossary/available-to-promise), reserved and awaiting receipt at a glance.

- The warehouse board runs To pick → Picking → Ready to dispatch, flagging orders short of stock, waiting over 24 hours or due today
- Dispatch in full or in part: each dispatch creates a delivery note, and the rest goes back to To pick
- Pick and dispatch screens never receive prices, so storekeepers and drivers see quantities only

[Sales orders and fulfilment](https://1flux.ai/products/sales-orders)

1. Sales order (SO-2026-0042): Awaiting activation.
2. Activate and reserve stock (Reason logged).
3. Stock reserved (Transfers can’t move it).
4. Warehouse board (Ready to pick): To pick.

Activating a sales order reserves its stock and puts it on the warehouse board.

Item search

## Find the right part by code, barcode or name

Item search in 1flux matches every word you type against item names, codes and barcodes, so counter staff find a part from whatever the customer reads out. It understands Arabic spelling variants and Eastern Arabic digits, so a part typed with a different alef still turns up. Press ⌘K on any page for a live item search.

- Item names in up to 7 languages, including Arabic, typed right to left
- Capture existing EAN-13, UPC or Code 128 barcodes, or generate internal EAN-13s, and print A4 label sheets
- Packs per item, such as a pack of 4 spark plugs, set the defaults for buying and selling

[The 1flux item master](https://1flux.ai/products/inventory/item-master)

Type part of a name, a code or a barcode. Every word has to match somewhere.

Stock control

## Counts and write-offs that keep fast movers accurate

A [stock count](https://1flux.ai/glossary/stock-count) in 1flux takes a snapshot of a whole branch, optionally blind so counters don’t see the system quantity, which matters most for the parts that move fastest. Every line must be counted, posting stops if stock moved during the count, and one posting books the variance at cost.

Damaged or missing parts are written off with a reason, such as damage or theft, and post to the ledger at cost. Every receipt, delivery, count and write-off posts its own journal, so stock and the books stay in step.

A count sheet for the whole branch, with the estimated impact as you go.

FAQ

## Questions, answered

Still deciding? [Talk to sales](https://1flux.ai/contact)

### Can 1flux track stock in delivery vans?

Yes. In 1flux a warehouse can be set up as a warehouse, a store or a van, so van stock is tracked like any other location: on hand, reserved, available and awaiting receipt. You load a van with a transfer from a branch or warehouse of the same company, and count it with a stock count like any other location. Every movement keeps its cost, and the stock ledger shows where each part went.

### How do branches move parts between each other in 1flux?

1flux moves stock between two warehouses of the same legal entity with a transfer, which runs Draft, Posted and, if needed, Reversed. Each line shows what's available as you type, with an "Only N available" hint when stock runs thin, and stock moves together with its cost. Reserved stock can't be transferred, so a part promised to one customer stays where the order expects it.

### Can counter staff see what's available to promise before confirming an order?

Yes. 1flux shows on hand, reserved, available and awaiting receipt for every part in every warehouse, and available is on hand less reserved. Activating a sales order reserves its stock and sends it to the warehouse board, so the next salesperson sees only what's genuinely free. The Inventory overview shows available to promise on its tiles, and the warehouse board flags orders that are short of stock.

### Can 1flux search parts by code, barcode and name?

Yes. Item search in 1flux matches every word you type against item names, codes and barcodes. It understands Arabic spelling variants and Eastern Arabic digits, so a part name typed with a different alef, or with Eastern Arabic numerals, still turns up. Item names can be kept in up to 7 languages, including Arabic, and the command palette (⌘K) gives a live item search from any page.

### Can we sell a part on its own and in a pack?

Yes. Each item in 1flux has one inventory unit and any packs you define, such as a pack of 4 spark plugs or a carton of 12 oil filters. A pack can be marked for purchase, for sale or for both, and can carry its own barcode. Quotation lines start with the item's default sale pack and purchase lines with its default purchase pack, and quantities always convert back to the inventory unit.

### Can we run blind stock counts in each branch?

Yes. A stock count in 1flux takes a snapshot of a whole warehouse, and the blind count setting hides system quantities from the people counting. Every line must be counted, posting stops if stock moved during the count, and one posting books the variance at cost. Damaged or missing parts are written off separately with a reason, such as damage or theft, and post to the ledger at cost.

### Can one 1flux workspace run branches in more than one company?

Yes. 1flux runs several legal entities in one workspace, each with its own warehouses, currency, costing method, numbering and books. Legal entities can be registered in the UAE, Saudi Arabia and India. The entity switcher in the top bar shows which company you're working in, and you choose each person's entity access when you invite them, so a branch team sees only its own company.
