Item master

## One item master for everything you buy and sell

1flux keeps a single [item master](https://1flux.ai/glossary/item-master) for physical goods, services, and software and digital products. Each type gets its own form, so a service has a billing unit and a subscription has a billing frequency, while a physical good has an inventory unit and packs.

- Item names and descriptions in up to 7 languages, including Arabic and Urdu with right-to-left input

## Know what you can promise, in every warehouse

You can only promise what's free. 1flux shows four numbers side by side for every item and warehouse, so sales and stores read the same figure.

Reserved comes only from activated sales orders. Available is what sales can still promise.

1. The Jebel Ali warehouse holds 240 gate valves on hand.
2. Operations activate sales order SO-2026-0042 with Activate and reserve stock, which reserves 90 of them.
3. Available is on hand less reserved: 150 gate valves can still be promised.
4. Issued purchase order PO-2026-0012 adds 120 more as awaiting receipt. They count as stock only once a goods receipt report posts.

Reservations start when operations choose **Activate and reserve stock** on a confirmed sales order. Putting the order on hold, or cancelling it, releases them, and dispatch fulfils them. A transfer can’t take stock that is reserved.

Multi-warehouse

## Run several warehouses across several companies

In 1flux every warehouse belongs to one legal entity, and each entity keeps its own currency, costing method and stock valuation. Choose the entity in the top bar and every inventory page follows it. A UAE company and a Saudi subsidiary can run side by side in one workspace without mixing their stock or their books.

- Set up each location as a warehouse, a store or a van, so van stock is tracked like any other location
- Move stock between warehouses of the same entity with a transfer that carries its cost

Stock control

## Count, move and write off stock with a reason

Stock changes only through documents in 1flux, and each one has a number, a status and a trail.

- **Transfers** (TRF-) move stock and its cost between warehouses: Draft → Posted → Reversed.
- **Write-offs** need a reason: spoilage, expiry, damage, theft, shrinkage, evaporation, sample, quality reject or other.
- **[Stock counts](https://1flux.ai/glossary/stock-count)** (CNT-) take a snapshot of a whole warehouse, can be blind, require every line to be counted, and stop if stock moved mid-count.

Costing

## Cost stock the way each company needs

Each legal entity chooses its costing method: [weighted average](https://1flux.ai/glossary/weighted-average-cost) (the default), [FIFO](https://1flux.ai/glossary/fifo) or [standard cost](https://1flux.ai/glossary/standard-cost) with purchase price variance.

Stock received before the supplier price is agreed carries a provisional cost. 1flux flags it on the overview and ages it in the cost audit until the buyer agrees the price on the purchase order. For weighted-average entities, agreeing the price revalues the stock while the goods are still intact in stock.

## Why inventory management software should post to the ledger

Inventory management software that only counts units leaves finance to rebuild the value by hand. 1flux writes the quantity, its cost layers and a balanced [journal entry](https://1flux.ai/glossary/journal-entry) in one step, through the same posting gateway that Accounting uses. There is no nightly sync to fail.

Every posting checks that the period is open and the accounts are mapped, and a double-click never posts twice.

## Start the day on what needs action

The Inventory overview opens on a **Needs action** list, sorted by severity. Each row has one action that opens exactly the records behind it, and people see only the rows they can act on.

Below that sit four tiles (Stock value against 30 days ago, Available to promise, Awaiting receipt, Reserved), a 90-day stock value chart, stock health, the items worth most in stock and movements in and out per day. A new entity with no stock sees a three-step **Get stock in** checklist instead: add a warehouse, add the items you stock, bring in stock.

How it works

## How does 1flux Inventory work?

Seven steps from an empty catalogue to a month-end you can defend.

1. ### Set up your catalogue and warehouses

   Import up to 10,000 items from Excel or CSV, checked on the server before anything is saved. Each entity starts with a main warehouse.

2. ### Bring in opening stock

   Enter up to 500 lines in a form, or import up to 10,000 rows. 1flux posts them on your cutover date against opening balance equity.

3. ### Buy and receive

   Issue a [purchase order](https://1flux.ai/glossary/purchase-order). Stores check the delivery in with a [goods received note](https://1flux.ai/glossary/goods-received-note) (GRN); nothing posts yet. The [goods receipt report](https://1flux.ai/glossary/goods-receipt-report) (GRR) then brings the stock in and posts the journal.

4. ### Sell and reserve

   Activating a sales order reserves its stock and puts it on the warehouse board.

5. ### Pick and dispatch

   The storekeeper picks and dispatches, in full or in part. Each dispatch creates a [delivery note](https://1flux.ai/glossary/delivery-note) that reduces stock and posts cost of goods sold.

6. ### Control

   Transfer, write off and count stock with documents and reasons.

7. ### Check

   Review valuation, the cost audit and reconciliation before you close the month.

### How does 1flux work out available-to-promise stock?

1flux shows four figures for every item and warehouse: on hand, reserved, available and awaiting receipt. Available is on hand less reserved, so it is what sales can still promise. Stock is reserved when operations activate a confirmed sales order, released if the order goes on hold or is cancelled, and fulfilled by dispatch. Awaiting receipt comes live from issued purchase orders.

### Can 1flux manage stock for several companies?

Yes. In 1flux each warehouse belongs to one legal entity, and each entity has its own base currency, costing method, stock valuation and books. You switch entity in the top bar and every inventory page follows. People can be limited to the entities they work for when you invite them, and the Valuation report shows each entity's stock in its own base currency.

### Can 1flux track stock in vans and stores?

Yes. In 1flux a location can be set up as a warehouse, a store or a van, so stock on a van is tracked like stock in any other location. Each one shows on hand, reserved, available and awaiting receipt per item. Loading a van from the main store is a transfer that moves the stock and its cost, with a number and a trail.

### Does 1flux Inventory include purchasing and goods receiving?

Yes. The 1flux Inventory app includes Purchasing (requisitions, supplier quote comparison, purchase orders and purchase invoices) and Receiving (goods received notes and goods receipt reports). Stores check deliveries in first, and only the posted goods receipt report moves stock and writes the journal. 1flux also lets you pay suppliers and allocate each payment to purchase invoices, and payments post to the ledger.

### Which costing methods can each company use?

1flux lets each legal entity choose weighted average (the default), FIFO or standard cost with purchase price variance, so one company in a group can use FIFO while another uses weighted average. Every receipt creates a cost layer that later movements draw from. The Valuation and Cost audit reports show the value of each stock position and the receipts behind it, with CSV export.

### How do stock counts work in 1flux?

1flux counts a whole warehouse against a snapshot taken when the count starts. Counts can be blind, hiding the system quantity from counters, and every line must be counted. If stock moved during the count, posting stops, so a delivery is never booked as a gain or a loss. One posting then books the whole variance to the ledger at cost.

### Does 1flux print barcode labels?

Yes. 1flux captures existing EAN-13, UPC or Code 128 barcodes, or generates internal EAN-13 codes. From an item record you can print an A4 sheet of 1 to 100 labels at 38 × 25 mm or 50 × 25 mm, showing the item name, code and barcode. Barcodes are unique in the workspace, and item search matches them too.

### Can we import our items and opening stock?

Yes. 1flux imports up to 10,000 items per file from Excel, CSV or pasted rows. It maps your columns, checks every row on the server and gives you an error file before anything is saved. Opening stock comes in by form (up to 500 lines) or by import (up to 10,000 rows, all or nothing), and posts on your cutover date against opening balance equity.
