# General ledger software where every entry keeps its trail

A ledger is only as good as the rules around it. In many growing companies, those rules live in people's heads, and nobody can answer the auditor.

Chart of accounts

## Build your chart of accounts in minutes

1flux gives each entity a [chart of accounts](https://1flux.ai/glossary/chart-of-accounts) as a tree with that entity’s balances. Headings group accounts; posting accounts take journals. Parent balances include everything beneath them.

- **Install trading template.** One click adds a trading chart of 25 accounts (5 headings and 20 posting accounts), including input and output VAT, goods received not invoiced, intercompany accounts, price variances, FX gain or loss and opening balance equity.
- **Import** a CSV with code, name, type, postable flag, mapping, Arabic name and intercompany flag, or add accounts one at a time.
- **Drag to re-parent.** 1flux rejects loops and keeps each level in code order.
- **Export CSV** with Arabic names intact in Excel.
- **Deletion guards.** An account with sub-accounts, posted activity, draft journals or a posting rule can’t be deleted.

Journal entries

## Journals with a lifecycle, not an edit button

Every manual [journal entry](https://1flux.ai/glossary/journal-entry) in 1flux has one of four statuses, and only two count in the books. To post, debits must equal credits and every account must be postable in that entity. An open period must cover the date, and nothing can be dated before the ledger cutover. Entries are numbered JE-YYYY-NNNN per entity and year.

Posted and reversed entries count in every report; drafts and voids never do.

Corrections

## How does 1flux general ledger software handle corrections?

Posted journal lines in 1flux can’t be changed, and the database itself enforces it. Corrections leave a visible trail instead.

- **Small edits stay small.** Memo and custom-field changes save in place while the period is open.
- **Real changes post a pair.** Changing the date, an account or an amount posts a [reversing entry](https://1flux.ai/glossary/reversing-entry) and a corrected entry in one step. Banners link them: “Replaces JE-…” and “Reversed by JE-…”.
- **Reverse** posts a mirror entry, once. A reversal can’t itself be reversed or voided.
- **Void** needs a reason and works only while the period is open.
- **An audit trail on every manual entry** lists who created, updated, posted, voided, reversed or corrected it, and when.

Changing the amount posts a reversal and a corrected entry in one step. All three stay in the books, linked both ways.

General ledger

## General ledger and account ledgers

The [general ledger](https://1flux.ai/glossary/general-ledger) lists every account with its debits, credits and closing balance for any date range. It groups accounts by nature (assets, liabilities, equity, revenue, cost of goods sold, expenses and other income) with subtotals and a “Debits equal credits” check. It works as your [trial balance](https://1flux.ai/glossary/trial-balance) and exports to CSV.

Open any account for its account ledger: opening balance, period movements and a running balance after every line. Each line links to its journal and to the source document behind it.

The same ledger gives each legal entity its profit and loss and balance sheet, straight from the ledger, and it’s what you reconcile your bank accounts against.

Opening balances

## Bring in your opening trial balance once

1flux posts your [opening balances](https://1flux.ai/glossary/opening-balances) as one journal on the [cutover date](https://1flux.ai/glossary/cutover-date), the day your books start in 1flux. Upload a CSV or Excel file, or paste rows, with account code, debit and credit. Review them in a grid that shows the account each code resolves to, then post.

The balance must be exact, with no negative, two-sided or duplicate rows. It posts once per entity, and nothing can be dated earlier afterwards. Read more about [data import and migration](https://1flux.ai/platform/data-import-and-migration).

Periods

## Periods and ledger policies

1flux keeps monthly accounting periods for each entity, and several can be open at once. Once you close a month, every posting path refuses it: journals, invoices, payments, receipts, deliveries and stock documents. Ledger policies are set per entity, in three sections.

| **Fiscal year and purpose** | The month your fiscal year starts, and whether the entity trades or exists for consolidation only.                                                 |

Opening a period needs a different permission from closing one; closing sits with the posting permission.

Account mapping

## Account mapping decides where documents post

1flux posts documents by purpose, not by hard-coded account. **Posting account mapping** lists each purpose, such as Sales revenue, Output VAT, Inventory or Goods received not invoiced, with its account or “Not mapped”.

- Each purpose must post to the right account type.
- Items can override their inventory, cost of sales and expense accounts.
- A changed mapping applies to future postings only.
- A missing mapping blocks posting with a clear message.

Each purpose maps to one account. A purpose that isn’t mapped blocks posting until it is.

### How do I correct a posted journal entry in 1flux?

1flux locks posted journal lines, and the database rejects changes to them. You can update the memo and custom fields while the period is open. Changing the date, an account or an amount posts a reversal and a corrected entry in one step, linked both ways, and the entry's audit trail records who made the change.

### Does 1flux separate who prepares journals from who posts them?

Yes. 1flux splits journal work into separate permissions: one lets people create and edit draft journals, and another lets them post, void and reverse. Give accountants the first and finance managers the second, so every manual journal passes through two people. Opening a period and closing one are separate permissions too, and custom roles combine them however you need.

### Can 1flux stop postings into a closed month?

Yes. Closing a month in 1flux stops every posting dated in it: journals, invoices, payments, receipts, deliveries and stock documents. Corrections to documents from a closed month post on today's date, in the open period. Each entity's six-step close checklist ticks itself as the work gets done, and the Close period button unlocks once the first five steps are complete.
