Multi-entity

# Run every company in your group from one multi-company ERP

Run several legal entities in one 1flux workspace, each with its own registrations, currency, letterhead, bank details, warehouses and books.

## In short

1flux runs several [legal entities](https://1flux.ai/glossary/legal-entity) in one workspace, with one login and one set of settings. Each entity has its own country pack, registrations, base currency, letterhead, bank details, document numbering, warehouses and books. People switch entity from the top bar and can be limited to the entities they work for when you invite them. Issued quotations keep the entity details they were issued with, and a consolidation run combines every operating entity's ledger in one group currency.

Switch legal entity from the top bar. Currency, figures and the books follow; nothing mixes.

View as text

1. The finance manager is working in Sadaf Building Supplies LLC, whose books are in AED.
2. They open the entity switcher in the top bar (⌘⇧E).
3. They choose Sadaf Trading Company.
4. The page now shows the books of Sadaf Trading Company in SAR. Each entity keeps its own currency, numbering, warehouses and books.

The problem

## The problem: one group, many spreadsheets

Groups of companies often run each company on its own spreadsheet, its own copy of an accounting package, or both:

- A quotation goes out on the wrong letterhead, with the wrong tax number or bank details.
- Staff in one company can see the customers, prices and books of another.
- Stock is counted per company, but nobody can see the whole group’s position.
- Month-end consolidation is a week of exports, currency conversions and formulas.

A multi-company ERP fixes this by keeping each company’s records separate while running them on one system.

1. Legal entities

   - AE · AED Sadaf Building Supplies LLC
   - SA · SAR Sadaf Trading Company
   - Holding Consolidation into AED

2. One workspace

   - Sadaf Group workspace One login, entity-level access

The fix: separate legal entities, each with its own currency and books, on one workspace.

Each entity

## What does each legal entity have of its own?

In 1flux, a legal entity is a registered company or branch inside your workspace. Every document and posting belongs to exactly one entity.

Two companies in one workspace, each with its own registrations, currency, tax codes, numbering, warehouses and books.

| Area | What each entity holds |
| ----------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| Country pack | UAE, Saudi Arabia or India, which sets the tax codes, legal forms, regions and registration fields |
| Registrations | UAE: VAT [TRN](https://1flux.ai/glossary/tax-registration-number), corporate tax TRN, trade licence. Saudi Arabia: CR, VAT number, unified number. India: GSTIN, PAN and others |
| Currency and time | Base currency and time zone |
| Arabic details | Arabic legal name and Arabic address, plus the Saudi national address |
| Documents | Logo, default bank details (IBAN, SWIFT), signatory and its own number sequences, per year, for purchase orders, goods received notes, sales orders, invoices, payments and journals |
| Operations | Warehouses and a costing method (weighted average, FIFO or standard cost) |
| Books | Its own double-entry ledger, accounting periods and journals, on a shared master chart for group roll-up |

Because the country pack comes with the entity, a company on 5% VAT in AED and one on 15% VAT in SAR sit side by side without one setting overriding the other.

Separate by design

## How does a multi-company ERP keep each company’s work separate?

1flux keeps every company’s work separate by tying each screen and document to the entity selected in the top bar.

- **Entity switcher.** The top bar always shows the current entity and its currency, for example **AE · AED**. Switch with a click or **⌘⇧E** (Ctrl ⇧ E on Windows).
- **Safe switching.** If you have unsaved changes, 1flux asks before switching, so nothing is lost or saved to the wrong company.
- **Clear books.** Documents and postings go to the selected entity, and every accounting page says whose books it’s showing.
- **Issuing entity on quotations.** A salesperson picks which of your entities issues each quotation, from the entities they’re allowed to use. The letterhead, registrations and bank details follow.
- **Per-entity warehouses.** Stock sits in warehouses that belong to an entity, valued in that entity’s currency. See [multi-warehouse stock](https://1flux.ai/products/inventory/multi-warehouse).

Each quotation is issued by one of your entities. Its letterhead, registrations and bank details follow.

Entity access

## Give people access only to the companies they work for

When you invite someone to 1flux, you choose their entity access: **All current and future entities** or **Selected entities only**. Their reads and postings across sales, purchasing, inventory and accounting are then limited to those entities.

Entity access works alongside roles, permissions and record visibility. A salesperson can be limited to the Saudi company’s documents, and record visibility can limit them to their own customers. See [access control](https://1flux.ai/platform/access-control) for how the layers combine.

Entity access is chosen when you invite someone: every entity, or only the companies they work for.

Issuer snapshot

## Documents keep the details they were issued with

When a quotation is issued, 1flux freezes the issuing entity’s details on it: legal name, address, registrations, logo and bank details. This is the issuer snapshot.

If you later move office, change bank or renew a trade licence, you update the entity once. New documents pick up the change. Quotations already issued keep the details your customer actually received.

Change the bank details once. New quotations use the new details; issued ones keep what the customer received.

Group structure

## Map your group structure

Under **Group structure**, you link parent and subsidiary entities with an **ownership %** and an effective date, and the consolidation run combines each entity’s books in full. Each subsidiary has one parent at a time, and circular structures are refused.

A holding company that reports but doesn’t trade can be set up as a consolidation-only entity, so it takes part in group reporting without posting day-to-day transactions.

Parent and subsidiary links with ownership and an effective date. The holding entity reports but doesn’t trade.

Consolidation

## See the group in one currency

1flux combines every operating entity’s ledger into a group currency with a consolidation run. [Financial consolidation](https://1flux.ai/glossary/financial-consolidation) here means adding the entities’ books together, account by account, and translating them into one currency.

- **Translation:** income and expenses at the month’s average rate, other balances at the closing rate, with a visible [translation difference](https://1flux.ai/glossary/currency-translation-difference) for each entity. This is IFRS-style translation.
- **Draft or final:** run a draft to review. A final run needs every entity’s month to be closed first.
- **Output:** a consolidated trial balance by account, in each entity’s currency and the group currency side by side, with CSV export.

Each legal entity keeps its own books, and the consolidation run gives the group one view in one currency.

[Multi-entity consolidation](https://1flux.ai/products/accounting/consolidation)

Each company keeps its own currency. The run translates them into the group currency and shows the difference.

1. Two companies have closed September 2026: Sadaf Building Supplies LLC keeps its books in AED, Sadaf Trading Company in SAR.
2. Income and expenses translate at the month’s average rate: SAR 1 = AED 0.9790. SAR 400,000.00 of sales revenue becomes AED 391,600.00.
3. Assets, liabilities and equity translate at the closing rate: SAR 1 = AED 0.9800. SAR 180,000.00 of receivables becomes AED 176,400.00.
4. Because two rates are used, the translated books differ by AED 100.00. 1flux shows it as a translation difference for the Saudi company.
5. The final run produces a consolidated trial balance by account in AED: debits and credits of AED 2,410,700.00 each. It is a trial balance, not formatted group statements, and it exports to CSV.

One flow

## Connected to the rest of 1flux

Multi-entity is built into every 1flux document, not bolted on: each one carries its entity from the start.

1. [Quotations](https://1flux.ai/products/quotations) Issued by one entity
2. [Sales orders](https://1flux.ai/products/sales-orders) Stock from its warehouses
3. [Multi-warehouse stock](https://1flux.ai/products/inventory/multi-warehouse) Posts to its books
4. Multi-entity Group currency
5. [Consolidation](https://1flux.ai/products/accounting/consolidation)

Quotations, sales orders, purchase orders, goods receipts, stock and journals all carry their entity from the start, so the books of each company are built from that company’s own documents. FAQ

## Questions, answered

Still deciding? [Talk to sales](https://1flux.ai/contact)

### Can 1flux run several companies in one account?

Yes. A 1flux workspace can hold several legal entities, each with its own registrations, base currency, letterhead, bank details, document numbering, warehouses and books. Your team uses one login, switches entity from the top bar and sees only the entities they've been given access to. Settings such as roles, workflows and the item catalogue are shared across the workspace.

### Which countries can my legal entities be in?

1flux supports legal entities registered in the United Arab Emirates, Saudi Arabia and India. Each country pack sets up the currency, time zone, tax codes, legal forms, regions and registration fields for that country when you create the entity. Every entity can sell to customers and buy from suppliers anywhere, in any currency.

### Can each company have its own currency?

Yes. Each 1flux entity has its own base currency, and its books, stock values and costing run in it. Documents can still be raised in other currencies, with exchange rates stored on them. When you need the group view, a consolidation run translates every entity into one group currency, with the translation difference shown for each entity.

### Can I stop staff seeing the other companies in the group?

Yes. When you invite someone to 1flux, you choose **All current and future entities** or **Selected entities only**. Their sales, purchasing, inventory and accounting work is then limited to the entities you selected. Entity access combines with roles and record visibility, so you can limit someone to one company's documents and to their own customers.

### How does 1flux consolidate a group of companies?

1flux consolidates the group with a consolidation run that combines every operating entity's ledger into one group currency. Income and expenses translate at the month's average rate and balances at the closing rate, with a translation difference for each entity: IFRS-style translation. The output is a consolidated trial balance by account, with CSV export, and a final run needs every entity's month closed.

### Do issued quotations keep the company details they were issued with?

Yes. When a quotation is issued, 1flux freezes the issuing entity's legal name, address, registrations, logo and bank details on it. If you later move office, change bank or renew a trade licence, you update the entity once. New documents pick up the change, and quotations already issued keep the details your customer actually received.

### Can a holding company take part in group reporting?

Yes. In 1flux, you link parent and subsidiary entities under **Group structure**, with an effective date for each link, and 1flux refuses circular structures. A holding company that reports but doesn't trade can be set up as a consolidation-only entity, so it takes part in group reporting without posting day-to-day transactions of its own.
