### Which countries does 1flux support?

1flux supports legal entities registered in the United Arab Emirates, Saudi Arabia and India. Each country has a pack that sets the currency, time zone, VAT or GST codes, legal forms and registration fields when you create the entity. Every entity can sell to customers and buy from suppliers anywhere, in any currency, and several entities can run side by side in one workspace.

### Why is it called 1flux?

1flux means "one flow", and it's pronounced "one-flux". It's designed as one system that every quotation, order, purchase, stock movement and ledger entry runs through, with each document handing off to the next. A quotation becomes a sales order, then a delivery note, an invoice and a payment; a requisition becomes a purchase order, a goods receipt, a supplier invoice and a supplier payment. Nobody re-keys the same order into a second system.

### Is 1flux cloud-based?

Yes. 1flux is a cloud web application that you use in a browser on a computer, tablet or phone, with nothing to install. Each customer's data is isolated inside the database with PostgreSQL row-level security, files are stored with short-lived signed download links and every deployment takes a verified database backup first. ## Product and modules

### What modules does 1flux include?

1flux has three apps on one login and one data model: [CRM](https://1flux.ai/products/crm), [Inventory](https://1flux.ai/products/inventory) and [Accounting](https://1flux.ai/products/accounting). Together they cover companies and contacts, deals and projects, quotations, sales orders and fulfilment, ZATCA and UAE e-invoicing, purchasing and receiving, multi-warehouse inventory, the general ledger, receivables, supplier payments, financial statements, VAT returns and multi-entity consolidation. Tasks, a calendar, notes, a document library and an approvals inbox are shared across all three.

### Can we start with only the apps we need?

Yes. The 1flux team switches on the apps you need for your workspace, so you can start with, for example, CRM and quotations and add inventory and accounting later. Your 1flux contact switches on each new app when you're ready. The apps share one login and one data model, so adding one later means switching on another part of the same system, not adopting a new one or moving data.

### Does 1flux work on a phone?

Yes. 1flux works in any phone or tablet browser, with nothing to install. On small screens it switches to drawer navigation and bottom-sheet switchers, so salespeople can check orders and share quotations from their phones, and storekeepers can attach delivery-note photos straight from the phone. The same roles and permissions apply on every device, so each person sees only what their job needs.

### Is 1flux simple to use?

Yes. Seven overview pages in 1flux, for CRM, Sales, Purchasing, Receiving, Warehouse, Inventory and Accounting, each open on a "Needs action" list of up to six rows, sorted by severity, and each row opens exactly the records behind it. People only see the rows they can act on. A command palette (⌘K) and keyboard shortcuts get people around quickly, and admins configure rules without code.

## CRM and sales

### Can salespeople see only their own customers in 1flux?

Yes. You can choose whether everyone sees everything, or each person sees their own records and their team's, following the reporting lines you set up. New workspaces start in the restricted mode. Tagging a salesperson on a company's sales team gives them access to its deals and quotations, and sales roles can link their assigned companies without browsing the full customer list. Managers see the records of everyone who reports to them.

### Does 1flux have a daily sales report for field teams?

Yes. Each salesperson posts one structured [daily sales report](https://1flux.ai/glossary/daily-sales-report) a day with up to 30 visits, recording the company, project, purpose, people met, outcome, next action and follow-up date, or a reason if there were no visits. Posted reports lock. Follow-up dates become calendar tasks automatically, and managers see coverage, who hasn't posted and eight pattern breakdowns by day, week or month.

### Can 1flux stop salespeople stretching payment terms?

Yes. Each customer in 1flux has [credit days](https://1flux.ai/glossary/credit-days) from 0 to 365, counted from the invoice, delivery or statement date, and those terms flow into quotations, sales orders and invoice due dates. A maximum credit-days cap per customer is enforced on sales orders: an order with longer terms is refused unless the user holds the override permission. Each customer's credit limit shows on the company record and statement.

### Can 1flux track projects and tenders?

Yes. Projects are a sales object in 1flux CRM: the site, building or tender you're selling into. Each project has a company, a salesperson, scope-of-work tags such as Mechanical or Electrical, a country and city, dates and a status from Proposed to Completed. Projects link to deals, and you can raise submittal requests on a project for your coordinators. A quotation's cover letter can name the project it's for.

### Does 1flux have a shared calendar?

Yes. 1flux brings meetings, reminders and tasks due, including follow-ups from daily sales reports, together on one calendar with day, week and month views. Meetings can be pushed to Google Calendar, and due-soon and overdue task reminders reach the assignee in the app and by email. Tasks also have board and list views, custom task types and comments with attachments.

## Quotations

### Can 1flux produce Arabic and English quotations?

Yes. In Document Studio, 1flux's drag-and-drop quotation designer, you can design layouts with Arabic and English side by side, and Arabic text such as customer names, titles and terms prints correctly, with an embedded Arabic font. The text stays selectable in the PDF. Document Studio also offers 53 live quotation fields, line-item tables that continue cleanly across pages, and your own uploaded fonts.

### Can customers accept a quotation online?

Yes. Each sent [quotation](https://1flux.ai/glossary/quotation) can have a secure link, with an optional password and an expiry of 1 to 365 days, which you can revoke at any time. The customer opens the locked PDF, then accepts or declines by typing their name, with an optional note, and you're notified when they view it. An accepted quotation is ready for the customer's PO and the hand-off to operations.

### Can I send quotations by email and WhatsApp?

Yes. 1flux emails the approved quotation PDF to up to 25 To and 25 CC addresses, with an optional "View and respond" button. WhatsApp sharing opens WhatsApp on your phone or computer with a message from your template and the secure link, ready to send from your own account. The first send moves the quotation to Sent, and you're notified when the customer opens the secure link.

### How do quotation approvals work in 1flux?

1flux routes quotations through approval rules that admins configure without code. Rules can apply to amount bands, for example totals above USD 25,000, and can require any one approver, all approvers or a quorum such as two of three. Sending is blocked until the quotation is approved. On approval, 1flux locks the PDF and its data, so the file the customer receives can't change; later changes become numbered revisions with a reason.

### What happens when a customer accepts a quotation?

1flux turns it into an order request once the salesperson attaches the customer's [purchase order](https://1flux.ai/glossary/customer-purchase-order), with its number, date and file. Operations turn the request into a sales order, and the quotation's lines, units, discounts, tax and shipping carry over without re-keying. From there, the order moves through stock reservation, picking, delivery note, invoice and payment on an order-to-cash board that updates as each document is posted.

## Purchasing and receiving

### Does 1flux handle LPOs, GRNs and two-step receiving?

Yes. 1flux follows the purchasing steps trading companies use: a requisition and its approval, RFQ PDFs for suppliers, quote comparison and award, then a purchase order that prints as a "Local purchase order" ([LPO](https://1flux.ai/glossary/local-purchase-order)). When goods arrive, stores record a [goods received note](https://1flux.ai/glossary/goods-received-note) (GRN) check-in, and a separate goods receipt report (GRR) posts the stock and the journal. Quick local purchase requests (LPRs) convert straight to an order.

### Can we order before the supplier price is agreed?

Yes. A "PO without price" lets you place the order now and agree prices later. Goods received against it carry a provisional cost, so stock is still valued, and 1flux flags every receipt still waiting for a price on the Inventory overview and in the cost audit report. Those receipts are invoiced once prices are agreed, so a supplier invoice is never booked against a guessed cost.

### How does 1flux check supplier invoices?

1flux builds purchase invoices from what was received on posted goods receipt reports and prices them against the order, so quantities always come from the receipt. Any price difference needs a reason and posts to an invoice price variance account, supplier invoice numbers are unique per supplier, and a received line can be invoiced only once. ### Can 1flux pay suppliers?

Yes. In 1flux you pay suppliers and allocate each payment to purchase invoices, and payments post to the ledger. Purchase invoices are built from received goods and post input VAT and the supplier payable, so the flow runs from requisition to purchase order, goods receipt, invoice and payment in one system. The Accounting overview shows the total owed to suppliers at a glance.

### Can purchases be linked to a customer's order?

Yes. A requisition in 1flux with the purpose "Customer demand" must name the sales order it serves and can copy that order's open lines. The link carries onto the purchase orders it creates, and the sales order lists them, so sales can see what's been bought for their customer and buyers can see what's urgent. Direct purchase orders can link to a sales order too.

## Inventory

### Does 1flux support multiple warehouses?

Yes. Each legal entity can have several locations, set up as warehouses, stores or vans, and 1flux shows on-hand, reserved, available and awaiting-receipt quantities for every item in every location. You can transfer stock between locations of the same entity, pick and dispatch from a warehouse board, and count each warehouse separately, with blind counts if you choose. ### Which inventory costing methods does 1flux support?

1flux supports [weighted average cost](https://1flux.ai/glossary/weighted-average-cost), [FIFO](https://1flux.ai/glossary/fifo) and standard cost, chosen per legal entity. Under standard cost, receipts at a different price post the difference to purchase price variance. Stock received before prices are agreed carries a provisional cost. Every stock posting writes the quantity, cost layers and a balanced journal together, so stock and the ledger stay in step, and a "Stock vs ledger" check flags any difference.

### Does 1flux support barcodes?

Yes. Items in 1flux can store existing EAN-13, UPC or Code 128 barcodes, or 1flux can generate internal EAN-13 codes for you. You can print A4 label sheets of 38 × 25 mm or 50 × 25 mm labels, from 1 to 100 per run, and item search finds items by their barcode.

### Can 1flux show what stock we can promise?

Yes. 1flux shows on-hand, reserved, available and awaiting-receipt quantities for every item and warehouse, and the Inventory overview has an available-to-promise tile. Activating a sales order reserves its stock, so the next salesperson sees only what's genuinely free, and reserved stock can't be transferred away. The warehouse board flags orders that are short of stock, so the team can act before dispatch.

## Accounting

### Does 1flux produce a profit and loss statement and balance sheet?

Yes. 1flux produces a profit and loss statement and a balance sheet for each legal entity, straight from the ledger. Alongside them sit a trial-balance-style general ledger, account ledgers and receivables aging, which export to CSV. For a group of companies, a consolidation run combines every entity's ledger into one group currency as a consolidated trial balance.

### Does 1flux post accounting entries automatically?

Yes. Goods receipt reports, delivery notes, sales invoices, customer payments, purchase invoices, write-offs, stock counts and opening balances each post their own balanced [journal entry](https://1flux.ai/glossary/journal-entry) through one posting gateway, in the same step as any stock movement. Each posting checks that the period is open, the entry balances and the accounts are mapped, and a repeated submit can't post twice. Every ledger line links back to its source document.

### Can 1flux reconcile bank accounts?

Yes. You reconcile your bank accounts against the ledger in 1flux. Customer payments post to the cash or bank account you choose, supplier payments post to the ledger, and the general ledger shows each account's balance and every line behind it. 1flux also reconciles receivables to the AR control account, and stock balances to their movements, on screen.

### Does 1flux handle multiple currencies?

Yes. Each legal entity keeps its books in its own base currency, and sales, payment and purchase documents can be in any currency, including three-decimal currencies such as KWD, BHD and OMR. You enter daily exchange rates, up to 8 decimals, and a missing rate stops posting with a clear instruction rather than a guess. ### How does 1flux help us close the month?

1flux opens the Accounting overview on a six-step close checklist that ticks itself, with Needs action rows for posting blockers, unbalanced drafts, overdue receivables, goods received not invoiced over 30 days, provisional costs and stock-versus-ledger differences. ### Can 1flux replace our accounting software?

Yes, for the core books of a trading company. 1flux covers automatic posting, the general ledger and manual journals, receivables and customer payments, supplier payments, profit and loss and balance sheet for each legal entity, bank reconciliation, VAT returns for the UAE and Saudi Arabia, period close and consolidation. Because operations post the books themselves, finance reviews and closes rather than re-keying.

## Multi-entity

### Can 1flux run several companies in one account?

Yes. One 1flux workspace holds several [legal entities](https://1flux.ai/glossary/legal-entity), each with its own country pack, base currency, time zone, registrations, Arabic legal name and address, logo, bank details, numbering for ERP documents such as POs and invoices, warehouses, costing method, accounting periods and books. People switch entities from the top bar, which always shows the current entity and currency, for example "AE · AED".

### Can I run a UAE company and a Saudi company together in 1flux?

Yes. A UAE entity and a Saudi entity can sit in one workspace, each with its own currency, VAT codes (5% and 15%), registrations such as the UAE TRN and trade licence or the Saudi CR and VAT number, letterhead and books. Customers, items and users are shared, each quotation is issued by whichever entity you choose, and a consolidation run combines both ledgers in one group currency.

### Does 1flux consolidate group accounts?

Yes, as a consolidated trial balance. A consolidation run in 1flux combines every operating entity's ledger into a group currency, translating income and expenses at the month's average rate and balances at the closing rate, with the translation difference shown. Runs can be draft or final, a final run requires every entity's month to be closed, and the result exports to CSV.

### Can I restrict staff to certain companies in the group?

Yes. When you invite someone, you can limit them to specific legal entities, so one country's team works only with its entity's orders, stock and books while a group accountant sees every entity. Entity access works together with roles and permissions, which control what each person can do, and with record visibility in the CRM, which controls whose customers and deals they see. Running a group consolidation requires access to every entity.

## Arabic, VAT and e-invoicing

### Does 1flux work with Arabic data and documents?

Yes. 1flux handles Arabic data throughout: Arabic company, contact, supplier, item and entity names display correctly; item names can be stored in up to 7 languages, including Arabic; item search understands Arabic spelling variants and Eastern Arabic digits; and the Saudi national address has Arabic twin fields. Quotation PDFs print Arabic correctly, and you can design Arabic and English quotation layouts.

### Does 1flux support ZATCA e-invoicing in Saudi Arabia?

Yes. 1flux issues ZATCA-compliant e-invoices for Saudi Arabia, covering Phase 1 (generation) and Phase 2 (integration with ZATCA's Fatoora platform). Every VAT-registered business in Saudi Arabia has had to issue compliant [e-invoices](https://1flux.ai/glossary/e-invoicing) since 4 December 2021 (Phase 1), whatever its Phase 2 wave. Phase 2 integration continues in waves: businesses with VAT-subject revenue above SAR 187,500 in any year from 2022 to 2025 must integrate by 1 February 2027.

### Is 1flux ready for UAE e-invoicing from 2027?

Yes. 1flux supports UAE e-invoicing under the Federal Tax Authority's programme, ready for the 2027 go-live dates. Under the current timeline, businesses with revenue of AED 50 million or more go live on 1 January 2027, and others go live on 1 July 2027. Government entities follow on 1 October 2027, and B2C invoices are excluded for now.

### How does 1flux handle VAT?

1flux seeds tax codes when you create an entity: VAT at 5% for the UAE or 15% for Saudi Arabia on sales and purchases, plus zero-rated, and GST rates for India. Each item can carry its own purchase and sales tax code, and tax is calculated per line at dated rates, so a document always uses the rate in force on its date. Sales invoices post output VAT and purchase invoices post input VAT, each to its own account.

### Does 1flux prepare VAT returns?

Yes. 1flux prepares VAT returns for the UAE and Saudi Arabia from the input and output VAT already posted. Sales invoices post output VAT and purchase invoices post input VAT, each to its own account, so the figures for the return come from documents already in the books rather than a separate spreadsheet. Your finance team reviews the prepared return before submitting it.

### Does 1flux support the Saudi national address?

Yes. Customers, suppliers and legal entities can store the [Saudi national address](https://1flux.ai/glossary/saudi-national-address) in structured fields (short address, building number, street, secondary number, district, unit, postal code and city) with Arabic twin fields. 1flux validates the 4-digit building and secondary numbers, the 5-digit postal code and the short-address format, and a "Paste national address" helper fills the fields from copied text.

### What does AI-native mean in 1flux?

1flux is built so AI works on the same structured, connected and permissioned records your team uses, rather than being bolted onto separate modules. Every quotation, order, receipt, invoice and journal links to the document before it, and every action, by a person or by AI, runs through the same permissioned commands and audit trail. Today that foundation powers [Import PO with AI](https://1flux.ai/platform/ai), which turns a customer's PO or RFQ into a draft quotation.

### What does AI do in 1flux?

1flux uses AI where it saves real work. In the quotation builder, Import PO with AI reads a customer's purchase order or RFQ, as a PDF, PNG, JPEG or WebP file of up to 10 MB, and fills in the reference, date, currency and up to 200 lines, matched to your catalogue by item code, with a confidence score. The salesperson reviews the draft, and your approval rules apply before it's sent.

### How does 1flux stop its AI from making up values?

1flux designs Import PO with AI never to invent values. It uses a strict output format, and anything that isn't in the document is left blank for you to fill in. It ignores instructions hidden inside the uploaded document, shows a confidence score and attaches the source file to the quotation, so you can check the draft against it. A person reviews the quotation, and your approval rules apply, before it reaches the customer.

### Does AI in 1flux follow our permissions?

Yes. Every action in 1flux, whoever starts it, runs through the same permissions, approvals and audit trail. Import PO with AI drafts quotation lines for the salesperson who runs it, and it never sends anything to the customer on its own. The quotation still goes through your approval rules before anyone can send it.

### Which AI model does 1flux use?

1flux uses large language models from established providers through a model gateway, so the model behind a feature can change without changing how the feature works. Models are called only when a person runs an AI feature, such as Import PO with AI on a document they upload. The uploaded file stays attached to the quotation, so you can always see what the draft was built from.

## Security and data

### How does 1flux keep our data separate from other customers?

1flux isolates each customer's data inside the database with PostgreSQL [row-level security](https://1flux.ai/glossary/row-level-security), which fails closed if the workspace context is missing, so isolation doesn't depend on application code alone. Within your workspace, roles, entity access and record visibility control what each person can see and do. Files download through signed links that expire after 5 minutes, and all traffic uses HTTPS.

### How do people sign in to 1flux?

1flux signs people in with an email and password or with their Google account, and admins invite colleagues by email; invitations expire after 7 days. Admins can disable a user, which ends their sessions immediately, and "Reassign and deactivate" moves a leaver's companies, deals, tasks and direct reports to a colleague in one step. Permission changes are audited, and a non-admin can't grant permissions they don't hold.

### How does 1flux back up our data?

1flux takes a verified database backup before every deployment, before any change is applied, and a release can be rolled back. You can also export companies and contacts to CSV or Excel, items to Excel, and ledgers, receivables, stock and other reports to CSV, with Arabic-safe encoding, so your own copies of key records are always within reach.

### Does 1flux keep an audit trail?

Yes, on the records that matter most. Companies, contacts, items and suppliers have an Activity tab; every procurement document shows its history in plain sentences; manual journals keep a per-entry [audit trail](https://1flux.ai/glossary/audit-trail); and deals, tasks and sales orders keep stage history. Posted journal lines can't be edited, so corrections appear as a reversal plus a corrected entry, linked both ways.

## Implementation and data migration

### Can we import our data from Excel?

Yes. One import workbench takes CSV, Excel or pasted rows, lets you map columns, validates every row on the server, then commits. Files take up to 5,000 rows and 10 MB for companies and contacts, and up to 10,000 rows for items. Excel templates include dropdowns; companies already in 1flux can be skipped or updated, matched by website domain; and errors download as a file you can fix and re-import. ### How do we bring in opening balances and opening stock?

1flux brings them in on your ledger [cutover date](https://1flux.ai/glossary/cutover-date). Import an opening trial balance from CSV, Excel or pasted rows, review it and post it once, on that date; receivables and payables come in as control-account balances. Opening stock goes in by form (up to 500 lines) or import (up to 10,000 rows) and posts inventory itself, so leave inventory out of the trial balance, or offset it. Earlier postings are then blocked.

### Does 1flux integrate with other software?

Yes. 1flux uses Google for sign-in and pushes meetings to Google Calendar, sends quotations and notifications by email, and shares quotations through WhatsApp. ZATCA and UAE e-invoicing are built in. CSV and Excel import and export move data in and out, and every import is validated on the server before anything is saved. ### How much does 1flux cost?

### How can I try 1flux?

1flux starts every new customer with a guided demo with the 1flux team. In the demo, the team walks through quotations, purchasing, inventory and accounting using examples close to your business, and you can see how 1flux handles your own documents, such as a customer PO, a purchase order or a stock list. After the demo, you get a written proposal for your apps, people and companies.

### How big can quotations, journals and imports get?

1flux handles up to 500 lines per quotation, 200 lines per manual journal, 10,000 rows per item import file and 5,000 rows per company or contact import file, and bulk edit changes up to 5,000 companies or items in one session. Import PO with AI reads files of up to 10 MB with up to 200 lines. Legal entities can be set up in the UAE, Saudi Arabia and India, and you can trade with customers in any country.
